We are a leading personal injury law firm dedicated to client satisfaction and long-term engagement. We are seeking an Intake Automation Specialist to lead client outreach automation, enhance intake processes, and support marketing initiatives through data-driven strategies.
Job Overview:
The Intake Automation Specialist will be responsible for developing and implementing automated workflows to optimize client follow-ups, manage intake KPIs, and integrate API-driven solutions for seamless client engagement. This role requires expertise in outbound and inbound call operations, marketing coordination, and workflow automation to drive efficiency and performance.
To ensure productivity and efficiency, Time Doctor will be used to track your work hours and productivity. While this tool is in place to ensure accountability, it is also key to maintaining a structured and efficient workflow across remote roles. You’ll be expected to use Time Doctor to log your time and tasks, helping identify areas for improvement and keeping us aligned with our broader team goals.
Key Responsibilities:
Client Outreach & Engagement Automation
Develop and implement automated texting and calling systems to engage previous and prospective clients through regular follow-ups.
Oversee dialing systems (e.g., RingCentral) to ensure optimal connection rates with leads and past clients.
Manage intake KPIs to ensure smooth transitions from lead generation to client onboarding.
Continuously analyze data to improve automation strategies and report performance metrics to leadership.
Marketing & Operations Support
Collaborate with the marketing and intake teams to align automation strategies with brand and business goals.
Support marketing campaigns by automating outreach workflows and tracking engagement metrics.
Provide training and support to team members on automation tools and processes.
Qualifications:
Bachelor’s degree in Business, Marketing, or a related field preferred.
2+ years of experience in automation, client outreach, and outbound call operations.
Experience with Postal.io, Filevine, Lead Docket, and RingCentral is highly preferred.
Strong problem-solving skills with a data-driven mindset.
Experience in inbound operations or law firms is an added advantage.
Preferred Skills:
Strong background in client engagement and outbound and inbound process optimization.
Proficiency in CRM tools to enhance client communication and lead management.
Technical expertise in API integrations and workflow automation.
