Purpose of Role/Summary:
The role supports the smooth day-to-day operation of the office by managing front-desk activities, coordinating meetings and office resources, and ensuring a clean, safe, and well-organized workplace. building management, handling administrative and facilities-related tasks, and providing support for onboarding and general office operations to maintain a professional and welcoming environment.
Main Activities and Responsibilities:
Welcome visitors and assist both external visitors and internal staff promptly and professionally
Coordinate meeting rooms, schedules, and daily office activities
Maintain a clean, organized, and safe reception and office area
Handle incoming and outgoing mail, packages, and courier services
Support basic administrative tasks such as documentation, correspondence, and filing
Assist with onboarding new employees and other office-related activities as needed
Follow up daily with Housekeeping (HK) to ensure all areas of the building, including reception, meeting rooms, kitchen, offices, and common areas, are clean, tidy, and well-maintained
Coordinate coffee service during meetings and when hosting guests (internal and external clients)
Comply with all company policies, confidentiality, security, and health & safety procedures at all times
Perform other tasks as assigned by the Admin Manager
Required Skills & Experience:
Fresh graduate or 1+ years of experience in a receptionist or office administration role
A bachelor’s degree, diploma, or relevant certification is a plus
Fluent in English and Arabic (other languages are an advantage)
Excellent organizational, multitasking, and time-management skills
Strong verbal and written communication skills
Proficient in Microsoft Office and Outlook (or similar tools)
Professional, friendly, and customer-service oriented
Able to work independently and handle confidential information with discretion
Basic understanding of office health, safety, and compliance standards
Detail-oriented and proactive problem solver

The position is in Amman, Jordan
Working hours: Sunday to Thursday, 08:30 – 17:00
Flexible working hours (flexitime)
