We have an exciting opportunity for a Business Process Owner, DA Operations, in our Operations Excellence team. You will be responsible for designing, monitoring, and optimising our processes and performance, starting from the Close Estimate submission to the DA settlement.
The role owns the global DA Operations standard (“Inchcape Way”), including SOPs, RACI, controls, exception governance and KPI regime, and is accountable for driving measurable improvements in DA performance and compliance across regions and hubs.
The role works closely with Area and Hub leaders to ensure adoption of the global standard through defined governance routines, compliance reviews, and escalation where required.
Similarly, the role engages actively with the responsible leaders managing the Operations, Client Services, DA and Vendor Services, AP and AR functions to identify improvement potential in the process and current performance.
What you’ll do: (Key Accountabilities & Key Deliverables)
1.Global Process Ownership & Standardization
Primary responsibility for owning – developing, maintaining, and cascading through the organization - the DA Operations procedures that set the standard for what, who, when, how, and with which control gates, we manage the process from Close Estimate (by Operations) through to settlement of the DA, including the DA Query and Dispute process. This includes defining the global RACI, mandatory process steps, exception handling, and approval/authority rules across Hubs, Regions, Finance, and Systems.
2. KPI Framework & Outcome Accountability
Define, design and own the business process metrics that monitor the standard process execution rooted in the agreed business process outcomes (KPIs such as DA TAT, Net Working Capital Days, and Productivity) for the DA Operation process.
This includes owning, designing and publishing dashboards with support from the reporting capabilities inside Operational Excellence, actively advocating and role-modelling the usage of the same in the organization, and running recurring governance routines (weekly and monthly) to drive actions and accountability.
3. Controls and Exception Governance
Own the design and enforcement of DA Operations control gates and exception governance, including (but not limited to): cancellations, Credits, disputes, rules for invoice allocation/unallocation and conditions to prevent incorrect system states
Establish a structured escalation path for recurring exceptions and non-compliance, and ensure corrective actions are implemented and tracked.
4. Systems Enablement & Product/IT Partnership
Represent the global business process ownership in the Optic LPA and Optic Hub Product Boards to present and prioritise system enhancements that boost the automation and efficiency of handling DAs across both the port agency and Hub processes.
Own the DA Operations “process-to-system” backlog (business requirements, prioritisation rationale, acceptance criteria) and partner with Product/IT to deliver improvements that remove manual rework and reduce exceptions.
5. Capability Building
Educate and enable the DA Operation functionally responsible leaders and team to work effectively with data through a combination of technical and analytics training and sharing of good practices. Drive adoption by defining minimum expectations for performance routines (use of dashboards, review cadence, action tracking) and supporting leaders to embed these in BAU.
6. Stakeholder Management & Operating Model Interfaces
Establish a strong rapport with the organisation to visibly represent the DA Operation process. This applies to both global roles with whom close collaboration is required to set the right end-to-end process and control framework (e.g. Hub Transformation, Global AR and AP, Commercial).
Maintain the operating interfaces between DA Operations and key stakeholders (Operators, Hub, Global AR/AP, Commercial, Client Services), including ownership boundaries, handoff standards, and escalation routes.
Ensure alignment between process policy (global standard and SOP) and execution ownership (regions/hubs/finance), so accountability is clear and sustainable.
Who you are: (Required-Knowledge, Experience, Education, & Skills)
Essential: Required
Extensive understanding of the DA processes
Analytically-savvy and with good experience in working with data in Excel, Power BI, and similar applications
Experience owning or governing global business processes (SOPs, RACI, control and exception management) across a matrix organisation.
Ability to drive compliance and adoption through structured governance routines, audits/reviews, and escalation when needed.
Ability to translate process requirements into system and integration needs (e.g., workflow dependencies, document logic, automation opportunities).
Desirable: Preferred
Prior exposure to the port agency operational business processes (pre-Close Estimate activities)
experience of the Inchcape ways of working and system.
Experience with ERP/workflow environments and process/system integration (e.g., Unit4 and/or Optic LPA or equivalent).
Education and Professional Qualification:
Essential:
Bachelor’s degree (or equivalent experience) in Operations, Business, Finance, Engineering or related discipline.
Highly structured, solid analytical skills – preferably linked to a formal education or extensive hands-on experience with leading business processes, either directly as a process responsible or indirectly as process owner
Desirable:
Lean / Six Sigma or similar continuous improvement qualification.
Change management, governance, or risk/control-related training.

Able to connect and create rapport with stakeholders in many countries and cultures.
Able to operate across time zones and drive outcomes through influence rather than direct authority.
Willingness to travel occasionally to hubs/regions as required.
Desirable:
Experience working in shared services or hub operating models.
