Job Title: Incoming Freight Coordinator
Department: Chariton Inbound Freight
FLSA: Non-Exempt
General Function:
Contacts outside carriers and negotiates pick-up and delivery of products to the Hy-Vee’s Distribution Centers. Processes Invoices. Works with procurement to efficiently bring product.

Reporting Relations:
Accountable and Reports to: Director of Inbound Freight and Inbound Freight Assistant Department Manager
Positions that Report to you: None
Primary Duties and Responsibilities:
• Receives purchase orders from purchasing and utilizes that information to find carriers to pick up freight. Invoices negotiations of freight rates and pickup and delivery times.
• Returns phone calls/emails and maintains communication with trucking companies, vendors and Hy-Vee purchasing keeping everyone informed.
• Coordinates shipper information with carrier and/or dispatch.
• Assists in calling for truck capacity for all areas in which Hy-Vee is picking up freight.
• Invoice reconciliation.
• Investigate and process detention requests.
• Required to rotate the department after-hours phone.
• Reports to work when scheduled and on time.
Secondary Duties and Responsibilities:
• Track and update vendor allowances.
• Monitors freight exception reports.
• Coverage for other desks in the department during holidays and vacations.
• Performs other job-related duties and special projects as required.
Knowledge, Skills, Abilities, and Worker Characteristics:
• Must have the ability to solve practical problems; variety of variables with limited standardization; logical thinking to solve problems; interpret instructions.
• Must have the ability to do arithmetic calculations involving fractions, decimals, and percentages.
• Must have the ability to file, post, and mail materials; copy data from one record to another; interview to obtain basic information; make appointments; and guide people and provide basic direction.
Education and Experience:
• High School or equivalent experience.
• One to three years of similar or related work experience.
Supervisory Responsibilities (Direct Reports):
None
Physical Requirements:
• Must be physically able to perform sedentary work: exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary works involves sitting most of the time.
• Visual requirements include vision from 20 inches or less to 10 feet or more with or without correction.
• Must be able to perform the following physical activities: Fingering, talking, hearing and repetitive motions.
Working Conditions:
The duties of this position are performed in an office setting. There is frequent pressure to meet deadlines and handle multiple tasks in a day.
