The In-House Travel Agent is responsible for coordinating and managing all corporate travel arrangements for District Managers and Senior Leadership at LV Petroleum. This role ensures efficient, cost-effective, and seamless travel experiences by arranging flights, hotels, transportation, and itineraries while adhering to company travel policies and schedules. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple travel requests in a fast-paced corporate environment.
Key Responsibilities
• Coordinate and book all travel arrangements including flights, hotels, rental cars, and ground transportation for District Managers and Senior Leadership.
• Develop and distribute detailed travel itineraries including confirmation numbers, schedules, and meeting locations.
• Monitor travel schedules and make adjustments or rebookings as needed due to delays, cancellations, or schedule changes.
• Ensure travel arrangements align with company travel policies and budget guidelines.
• Maintain relationships with airlines, hotels, and travel vendors to secure the best available rates and services.
• Track travel expenses and assist with travel expense reporting and reconciliation when required.
• Provide real-time travel support for executives and managers while they are traveling.
• Maintain accurate travel records and calendars for District Managers and Senior Leadership.
• Coordinate travel for corporate meetings, conferences, and company events.
• Identify opportunities for cost savings and efficiency in travel planning.
• Ensure compliance with company procedures and safety guidelines related to travel.

Requirements:
• Previous experience as a Travel Agent, Corporate Travel Coordinator, or Executive Travel Planner preferred.

• Strong problem-solving skills with the ability to handle last-minute travel changes.
• High level of attention to detail and accuracy.
• Excellent communication and customer service skills.
• Ability to manage multiple travel arrangements simultaneously.
Preferred Skills
• Experience booking corporate or executive travel.
• Familiarity with travel management systems.
• Knowledge of corporate travel policies and expense management.
• Strong vendor negotiation and relationship management skills.
Physical & Work Requirements
• Office-based work environment.
