In this role, you’ll work closely with the programme manager, project managers, and a wide range of internal and external stakeholders. You’ll play a key part in coordinating some of our most high‑priority projects, ensuring information flows smoothly, risks are flagged early, and delivery stays on course. Some of the key responsibilities for this role include:
• Proactively support the IAF Infrastructure Programme Delivery Manager in delivery of programmes of work, including setting up and implementing programme tools, systems and processes and continuously maintaining, reviewing and improving these.
• Identify and complete relevant tasks and actions around workshops and programme meetings.
•  Ensure programme information, documentation and collateral is easily retrievable, accessible, current and complete.
• Assist with regular reporting and data entry into funding portals.
•  Ensure programme plans, schedules, stakeholder engagement, risk and issues registers are up to date and monitored regularly.
• Coordinate meeting agendas, reports and minutes as required including circulating information to relevant parties and following up actions from meetings.
Please be advised that this role will initially be positioned within Hamilton City Council. As of 1 July 2026, your role will transfer to be positioned within IAWAI – Flowing Waters, a Council Controlled Organisation. You will be kept informed with regular communications before and during the transition.

Qualifications and experience:
• Experience in a project/programme coordinator or project-related role (preferred, but not essential)
• Experience in an administration, PA, coordination or similar administration role
• Relevant project-related certification (preferred, but not essential)
• Experience in processing financial claims or reports for external funding entities
Qualities and attributes:
• Self-awareness that mindset is the foundation of performance and an ability to develop self and others in this regard
• Excellent technology skills including Microsoft office, Excel, Powerpoint and Word
• Demonstrated ability to learn new systems quickly.
• Excellent time management and personal efficiency skills.
• Ability to undertake a wide variety of tasks without close supervision.
• Curiosity to be innovative, problem solve and develop solutions where they do not currently exist.
• Self-motivated with a commitment to achieve.
• Listening skills – ability to interpret information from meetings and conversations into deliverable actions.
• Knowledge of design thinking (preferred)
• Experience working in local government
