Job Summary:
We are seeking a detail-oriented and highly organized HVAC Dispatcher to coordinate and manage service calls for our HVAC technicians. The ideal candidate will serve as the primary point of contact between customers and field technicians, ensuring timely service delivery and excellent customer experience.
Key Responsibilities:
Receive and process incoming service requests from customers via phone, email, or online platforms.
Schedule and dispatch HVAC technicians to service calls efficiently, considering location, skill set, and urgency.
Maintain daily schedules and adjust assignments as needed to optimize workflow.
Communicate effectively with customers to confirm appointments, provide updates, and address inquiries.
Track technician availability, job progress, and completion status.
Enter and maintain accurate records in the company’s dispatch and CRM systems.
Coordinate with inventory or parts teams to ensure technicians have necessary tools and materials.
Provide support to field technicians, including troubleshooting scheduling issues and relaying critical information.
Handle emergency service calls and prioritize accordingly.
Maintain a professional and courteous relationship with customers and staff at all times.
Qualifications:
High school diploma or equivalent; additional education is a plus.
Previous experience in dispatching, customer service, or scheduling (HVAC or trades experience preferred).
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency with scheduling software, dispatch systems, and Microsoft Office Suite.
Ability to remain calm and professional under pressure.
Knowledge of HVAC terminology and operations is a plus.
