Alta Mira is a non-profit organization that has been supporting individuals with developmental or intellectual delays or disabilities, and their families, since 1985. We provide services to all age groups. We support over 800 children annually through our Early Intervention Program and 1500 adults in our Family Support Services. This is a full-time, 40-hour-per-week position.

Position Specific Essential Job Functions
Training Assistant
Performs essential job functions with or without reasonable accommodation at an acceptable level.
Schedule, document, and track required Developmental Disabilities Supports Division (DDSD) and agency training for direct care staff and service coordinators.
Coordinate with the Training Manager and the Safety Committee to schedule and provide annual training, as assigned.
Assist with Training P&P development and implementation.
Responsible for all employees and independent contractor compliance and accuracy of training records.
Provide monthly notices to direct care staff of required training due.
Document and record training for the entire agency.
Assist with the coordination of agency orientation to new employees.
Develop and distribute a quarterly calendar of available training.
Collaborate with other provider agencies to offer required DDSD training to staff and contractors.
Maintain training records for employees and providers
Maintain provider training record in iTD
Maintain employee training records in BambooHR
Provide training records for all contractors and staff for DOH Surveyors.
Provide training certificates for contractors and staff after completion of training.
Enter direct care staff and service coordinators into the DDSD Training Hub.
Update DDSD Training Hub to reflect agency personnel changes as needed.
Ensure accuracy of agency personnel in DDSD Training Hub.
Update contractor compliance – suspension – report as needed.
Prepare materials for new employee orientations and HR in-service training, including materials for employees and independent contractor introductions and orientations.
Be able to generate reports regarding provider training, as needed.
HR Assistant
Act as a point of contact and provide timely assistance with the contractor’s inquiries and concerns, providing information and support as needed.
Assist in resolving contractor relations issues and maintain a positive work environment.
Timely tracking of all contractors’ required licensures and liability insurance.
Use reasonable judgment in setting daily priorities to complete tasks.
Maintain established work schedule, punctual and dependable.
Perform duties in an organized, efficient, and timely manner.
Organize, prepare, maintain forms, manuals, brochures, and other communications for dissemination and respond to requests for the same materials in a prompt manner.
Participate in meetings for coordination and review of agency support systems.
Input and produce reports.
Maintain accurate e-files for all contractors.
Verify references for all employees and independent contractors, as needed.
Assist with FSS program introductions for interested applicants.
Assist with FSS direct service personnel recruitment by answering questions for applicants.
Process FSS and EI contractors once the file has been released.
Support and communicate in a positive way the decisions of the HR Director/management to other staff, contractors, families, and individuals in the community.
Enter and attend to all status change forms that apply to HR (contractor and client).
Back up for payments from clients, process payments, and forward payments to accounting, as needed.
Process of providers includes:
Creation of a new Staff Record in iTD
Uploading of files related to the provider’s training into iTD
Discharging providers in iTD
Communicate to FSS Data Support Specialist once a provider has been made active
Communicate to the Bookkeeper when a new provider is being processed (EVV)
Map provider to client once both are active and NOT in referral status
Maintaining provider to client mapping as changes occur
Cover the front office when the front office representative is off.
Verify professional licenses as needed.
Enter the applicant into the NM Training Hub and I Therapy Docs
Answers all incoming phone calls in a customer-oriented manner, when needed.
Adhere to standards, rules, and regulatory bodies in all activities associated with Alta Mira.
Track and request reimbursement for fingerprinting quarterly.
As needed, log all payments received.
Tracks all EI program contractors’ professional licensure and liability insurance in a timely manner.
Responsible for contractor COR clearance checks and DOH and ECECD fingerprinting.
Ensures that only active independent contractors are in the DOH database.
Performs other duties as required or assigned.
