Role Responsibilities:
Recruitment Coordination & Support
Support the HR team by coordinating recruitment activities.
Review incoming applications and organize candidates within applicant tracking systems for HR team review.
Coordinate interview scheduling with candidates and hiring managers, including sending meeting invitations.
Maintain and update applicant tracking records to ensure candidate pipelines remain organized and up to date.
Communicate with candidates regarding interview availability, application status, and next steps in the recruitment process.
Assist with summarizing candidate notes and screening outcomes for the hiring team.
Assist with other recruitment-related administrative duties as needed to support an efficient and organized hiring process.
HR Administration & HRIS Support
Enter and maintain employee information in our HRIS (BambooHR) once new hire documentation is received.
Update and maintain accurate employee records in our HRIS, including employee profiles, employment status, job details, and required documentation.
Process employee lifecycle updates in HRIS, including status changes, transfers, and terminations as directed by the HR team.
Manager the HR email inbox and delegate emails to the HR team accordingly.
Assist with preparing HR reports, documentation, and administrative records as requested by the HR team.
Workforce & Compliance Support
Assist with workforce documentation and certification reviews to support job site access requirements.
Support the HR team with employee work permits and monitor upcoming expiry dates, ensuring timely follow-up and notification to the HR team.
Help ensure employee certifications and compliance documentation are properly maintained.
Employee Programs, Culture & Events
Lead the planning and coordination of employee engagement initiatives, including company culture events, Lunch & Learns, company BBQs, and wellness initiatives.
Coordinate event logistics, vendor communication, and internal communications related to employee programs and initiatives.
Take meeting minutes during monthly Culture Committee meetings and assist with executing related initiatives.
Develop with the HR team and maintain a quarterly calendar of culture, fitness, and employee engagement initiatives.
Office Administration & Team Support
Manage ordering of office supplies and groceries, ensuring the supply room remains clean and organized.
Handle mail & package delivery, ensuring the right mail and packages are given to the appropriate person.
Help maintain a clean, organized, and welcoming office and kitchen environment.
Assist with obtaining apparel and supply quotes from vendors, including referencing past orders and presenting options to the team.
Provide administrative support to the HR team and other departments as required.
Designated meeting minute taker at all HR and other required meetings.
Support internal initiatives that improve HR efficiency and employee experience.
Coordinate safety equipment shipments to job sites as requested by safety team.
Support workforce compliance by ensuring employee certifications and required documentation are properly maintained and recorded.
Role Requirements:
Post-secondary education in Human Resources, Business Administration, or a related field preferred.
1–3 years of experience in an administrative or HR support role.
Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
High attention to detail when handling employee records, documentation, and data entry.
Ability to maintain confidentiality and handle sensitive employee information.
Comfortable communicating with employees, candidates, and internal teams.
Proficiency with Microsoft Office (Outlook, Excel, Word, Teams).
Experience working with HRIS systems (such as BambooHR) or similar HR platforms preferred.
Experience working in construction, trades, or a multi-site workforce environment is an asset.
