We are looking for a detail-oriented and highly organized HR Assistant / Scheduler to support both workforce scheduling and human resources administration. This role plays a key part in ensuring adequate staffing coverage while supporting HR operations, compliance, and employee support.
This position is a unique role which consist of 50% scheduling coordination and 50% HR administration, working closely with management, employees, and union representatives to maintain smooth workforce operations.
Position Summary
The HR Assistant / Scheduler coordinates staff scheduling and HR administrative functions while ensuring compliance with collective agreements, organizational policies, and relevant legislation including:
MCCSS Quality Assurance Measures (QAM)
WSIB requirements
Employment Standards Act
Occupational Health and Safety Act
PIPEDA and privacy legislation
AODA accessibility standards
The role helps maintain staffing levels, support recruitment processes, track attendance and onboarding activities, and assist with HR reporting and communication.
Key Responsibilities
Scheduling & Workforce Coordination
Develop and maintain staff schedules across multiple programs and locations.
Ensure adequate staffing coverage for all shifts.
Fill vacancies due to absences, leaves, or emergencies.
Monitor overtime and premium pay during scheduling.
Ensure scheduling practices comply with the collective agreement and employment legislation.
Recruitment & Onboarding Support
Assist with pre-screening candidates and scheduling interviews.
Conduct interviews and collect required hiring documentation.
Upload employee documentation into BambooHR.
Track onboarding plans and ensure tasks are completed.
Coordinate new hires with payroll, scheduling, HR, and managers.
Provide backup support during recruitment campaigns.
Absence & Leave Management
Track sick time, attendance, and leaves of absence.
Coordinate shift coverage during approved leaves.
Maintain accurate scheduling and attendance records.
Assist with return-to-work scheduling adjustments.
Communication & Employee Support
Track employee onboarding progress, retention, and probation reviews.
Respond to general HR inquiries and escalate when required.
Maintain accurate employee records in BambooHR and ShareVision.
Assist HR with communications, reporting, and staff follow-up.
Collaborate with managers to address staffing challenges.
Reporting & Data Tracking
Generate scheduling and attendance reports.
Prepare monthly HR metrics including:
Time-to-hire
Retention rates
Probation completion rates
Monitor absenteeism and overtime trends.
Qualifications
Diploma or certificate in Human Resources, Business Administration, or related field.
Experience in staff scheduling, preferably in healthcare or shift-based environments.
Knowledge of Employment Standards legislation.
Experience working in a unionized environment is an asset.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Proficiency with Microsoft Office and scheduling/HR software (BambooHR experience is an asset).
High level of discretion and confidentiality.
Bilingualism (English/French) is an asset.
This position is scheduled for 80 hours bi-weekly (full-time), with the opportunity for additional shifts as operational needs arise. The regular schedule is Friday to Monday from 7:00 a.m. to 5:00 p.m., with occasional adjustments required to provide coverage for scheduling staff during weekday absences.
