About the Role
The HSE Clerk serves as the Health, Safety & Environment (HSE) department representative on site, providing administrative and coordination support to the HSE team and field operations. The role supports the implementation of health and safety programs while working under the direction of the HSE Coordinator and/or HSE Manager.
The primary responsibilities include conducting site orientations, maintaining and reviewing safety documentation for compliance, coordinating required records, and supporting the Joint Health and Safety Committee (JHSC). The HSE Clerk also assists the field team by ensuring required health and safety documentation is current, organized, and accessible.
This position supports the HSE team in promoting safety awareness and maintaining compliance with company procedures and applicable legislation. The HSE Clerk may assist with incident documentation and emergency response activities when required; however, the role does not lead investigations or emergency response efforts.
The position is primarily administrative and support-focused and works closely with the HSE Coordinator and project team to ensure health and safety processes are followed on site.

What you will do as a Health, Safety & Environment Coordinator:
Conduct new worker and visitor site orientations
Coordinate Joint Health & Safety Committee (JHSC) activities, including scheduling meetings, ensuring trade representation, and documenting meeting minutes
Assist with regular site inspections, including site conditions, equipment, and air quality monitoring as directed by the HSE team
Maintain safety boards, training records, certifications, and compliance logs
Track, organize, and file inspections, permits, and safety documentation
Coordinate and track required permits such as confined space, hot work, and critical lift permits
Provide First Aid treatment when required and assist the HSE team with incident and near-miss documentation
Support emergency preparedness by maintaining emergency equipment and assisting during emergency response situations
Monitor and report safety concerns or non-compliance to the HSE Coordinator or site supervision
Support administrative requirements related to WSIB claims and other regulatory documentation as directed by the HSE team
What You Bring:
Degree or Certificate in Health & Safety, Occupational Health & Safety, or a related field is considered an asset
1–3 years of experience in a health & safety, administrative, or construction support role
Working knowledge of Ontario Health & Safety legislation within the construction industry is an asset
Strong proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams
Experience using Microsoft 365 platforms such as SharePoint for document management and collaboration
Comfortable working with digital safety platforms, mobile applications, and site-based reporting tools
Strong organizational and document management skills with the ability to maintain accurate digital records and compliance documentation
Ability to learn and adapt to new software systems, safety management platforms, and digital workflows
Strong written and verbal communication skills
High attention to detail and ability to manage multiple administrative priorities
Valid driver’s license and access to a vehicle to travel between office and project sites when required
