JOB TITLE: HR Specialist
LOCATION: Jakarta, hybrid
CONTRACT TYPE: Permanent, full-time
REPORTING TO: People & Culture Manager
PURPOSE OF THE ROLE
The HR Specialist will take ownership of employee records, data management, policy implementation, and visa administration ensuring they are executed with professionalism, precision, and continuous improvement.
The role will also play a key part in strengthening our internal HR systems and workflows, working closely with the People & Culture Manager to maintain high operational standards across all entities and ensure compliance with local and international employment regulations.
KEY RESPONSIBILITIES
Draft and manage employment contracts, letters, and HR records.
Stay up to date with changes in labour laws, immigration regulations, and statutory requirements, ensuring HR practices and documentation remain compliant across all entities.
Maintain secure, confidential employee files.
Manage administrative aspects of onboarding, offboarding, and employee lifecycle events across all entities (e.g., performance management, disciplinary matters).
Provide accurate and timely responses to employee HR queries, serving as the first point of contact for HR-related matters.
Provide guidance on local HR best practices and compliance considerations.
Coordinate and oversee visa and health insurance applications, renewals, and cancellations in line with government regulations and timelines.
Manage BPJS Kesehatan & BPJS Ketenagakerjaan registrations, updates, and ensure compliance with current regulations.
Maintain accurate employee data in HR Information Systems and generate routine or ad hoc reports.
Oversee attendance and leave tracking, and support payroll input preparation as needed.
Support audits and internal compliance reviews.
Support the continuous improvement of HR administrative processes and policies.
Assist in drafting and disseminating internal HR communications and calendar events (e.g., policy updates, key HR dates).
Support the People & Culture Manager with planning initiatives related to systems, policy reviews, and employee experience programs.
Support ad hoc HR and operational projects, including vendor coordination, procurement of office supplies, and general administrative or facilities-related matters.
QUALIFICATIONS
Bachelor's degree in Human Resources, Psychology, Law, or a related discipline.
Minimum 3-5 years' experience in HR operations or generalist roles.
Good command of English (written and spoken).
Strong knowledge of employment law, immigration requirements, and statutory compliance.
Proven experience in managing employee records, HR documentation, and HR systems (HRIS); hands-on experience in BPJS administration (Kesehatan and Ketenagakerjaan) is preferred.
Familiar with onboarding, offboarding, payroll support, and employee lifecycle processes.
High attention to detail with strong administrative and data management skills.
Able to handle confidential information with professionalism and discretion.
Strong communication skills with the ability to act as a first point of contact for HR matters.
