Position Overview
We are seeking a detail-oriented and proactive HR Operations Specialist to join our growing HR team. In this role, you will be the backbone of our HR administrative functions, ensuring smooth and efficient HR processes across the employee lifecycle. You will be responsible for maintaining HRIS data, managing employee records, processing transactions, and supporting compliance efforts.
Key Responsibilities
HR Administration
Maintain accurate and up-to-date employee records in our HR Information System (HRIS).
Process employee lifecycle changes (hires, promotions, transfers, leaves, terminations) with precision and timeliness.
Serve as a primary point of contact for employee inquiries regarding HR policies, procedures, and systems.
Prepare and submit IR56E forms for new employees to the Hong Kong Inland Revenue Department (IRD) in a timely manner.
Manage the annual IR56B and IR56F filing process, ensuring accurate declaration of employee income and benefits.
Process Improvement & Systems:
Identify opportunities to streamline HR operational processes and enhance efficiency.
Participate in HRIS upgrades, testing, and implementation.
Develop and update HR process documentation, guides, and FAQs.
Total Rewards & Payroll Support:
Collaborate with payroll to ensure accurate and timely processing (e.g., new hires, terminations, salary changes).
Administer benefits enrollment, changes, and inquiries in coordination with benefits brokers.
Support annual processes such as open enrollment, performance reviews, and compensation planning.
Onboarding & Offboarding:
Coordinate and facilitate a seamless new hire onboarding experience, including system setup and orientation.
Manage the offboarding process, including exit interviews, system deprovisioning, and final pay coordination.
Qualifications & Skills
Required:
Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
1-3 years of experience in HR Operations, HR Generalist, or a similar administrative HR role.
Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Excellent attention to detail and commitment to data accuracy.
High degree of discretion and ability to handle confidential information.
Experience with HR Information Systems (HRIS) – e.g., Workday, BambooHR, Greenhouse, etc
Preferred:
Experience in a fast-paced or scaling organization.
Knowledge of employment laws
