Job Summary:
The HR Operations Specialist will support and manage the day-to-day human resources operations of the company and be responsible for executing core HR processes and ensuring accuracy, consistency, and compliance across the employee lifecycle. This is a highly detail-oriented, hands-on role is ideal for someone who enjoys managing data, administering processes, improving workflows, and serving as a reliable operational partner to HR leadership.
Essential Duties & Responsibilities:
HR Operations & Employee Records
Maintain and update the HRIS with employee data, changes, and supporting documentation
Track and administer employee changes, including promotions, compensation updates, and status changes
Maintain accurate, up-to-date, and confidential employee files in compliance with company policies and regulations
Onboarding & Offboarding
Coordinate and administer new hire onboarding, including documentation, HRIS entry, and orientation logistics
Ensure accurate and timely offboarding, including exit documentation and system updates
Recruiting & Hiring Support
Post job openings and manage applicant tracking
Coordinate and schedule interviews with candidates and hiring managers
Prepare and issue offer letters and related employment documentation
Benefits Administration
Support benefits enrollment, life event changes, and employee inquiries
Coordinate with benefits providers and brokers as needed
Assist with open enrollment preparation, communications, and data reconciliation
Performance, Compensation & Compliance Support
Support the administration of performance review cycles, including tracking timelines, completion, and documentation
Support HR compliance activities, audits, and required employee training tracking (e.g., I-9s, policy acknowledgments, required trainings)
Data, Reporting & Process Improvement
Use Excel to track, audit, and reconcile HR data, including headcount, employee changes, and benefits information
Ensure data accuracy and consistency across HR systems and reports
Identify opportunities to improve HR processes, documentation, and operational efficiency as the company scales
Ability to travel up to 10%
Other duties as assigned
Experience & Qualifications:
Bachelor’s degree with 2–4 years of experience in an HR Operations or HR Coordinator role
Experience supporting multiple HR functions across the full employee lifecycle
Strong Excel skills, including working with spreadsheets, formulas, data validation, and basic reporting
Exceptional attention to detail and a high level of accuracy in data entry and documentation
Experience working with HRIS platforms and maintaining employee records
Ability to handle confidential and sensitive information with discretion and professionalism
Strong organizational, time management, and communication skills
Comfortable working in a lean, fast-growing environment
Preferred:
Experience in pharmaceutical, biotech, or other regulated industries
Experience supporting benefits administration and compliance activities
Physical & Environmental Requirements:
The essential functions of this position include:
Lift up to 25lbs on an occasional basis
Stand, walk, sit on a frequent basis
Reach, hands and arms on a frequent basis
Communicate using hearing and speech on a frequent basis (in-person and/or virtual)
Use vision (color difference, depth perception) on a frequent basis
