Let’s start with the role

We are looking for an HR Operations & Payroll Specialist to join our team and ensure the execution and continuous improvement of HR operations and payroll processes across multiple countries. In this role, you will deliver accurate, compliant and efficient HR and payroll services while acting as a subject-matter expert and point of contact for complex operational queries.

As an HR Operations & Payroll Specialist you will:

HR Operations

• Manage the full spectrum of HR administrative and operational activities for multiple countries, including employee data management, contract administration, benefits administration, and HR documentation;

• Ensure timely and accurate execution of employee lifecycle processes (onboarding, transfers, offboarding, and status changes);

• Maintain HR systems (HRIS) and employee records, ensuring accuracy, consistency, and compliance with data protection regulations;

• Prepare HR and Benefits Reports to support HR Manager;

• Support the implementation of regional HR initiatives and policy updates.

Payroll Administration

• Execute monthly payroll processes in collaboration with local payroll vendors and Finance, ensuring data accuracy, compliance, and timeliness;

• Validate payroll inputs (e.g., new hires, terminations, bonuses, deductions, benefits) and reconcile post-payroll results;

• Manage payroll-related queries from employees and HR teams, providing timely and accurate resolutions;

• Ensure full compliance with tax, social security, and labor reporting requirements across all supported countries;

• Assist with payroll audits, reconciliations, and year-end reporting.

Compensation & Benefits Support

• Support the administration of compensation and benefits programs, including benefits enrollment, renewals, and vendor coordination;

• Perform data checks and analysis to ensure accuracy of compensation-related information;

• Assist in the execution of annual salary reviews, bonus cycles, and benefits updates.

Compliance & Process Improvement

• Ensure all HR operations and payroll processes adhere to local laws, company policies, and audit standards;

• Stay up to date with local employment and payroll legislation, escalating key changes to the HR Manager;

• Identify opportunities to streamline workflows, improve accuracy, and enhance employee experience through process optimization;

• Contribute to documentation and maintenance of regional process guides and standard operating procedures (SOPs).

Stakeholder Collaboration

• Work closely with HR teams, Finance, and external vendors to ensure smooth HR and payroll operations;

• Serve as a knowledgeable point of contact for complex HR or payroll inquiries within the region.

What you’ll bring:

• Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field;

• Minimum 2 years of experience in HR operations and payroll, while supporting multiple countries will be considered a plus;

• Solid technical knowledge of payroll processes, employment laws. compliance requirements, and HR administration;

• Experience with HRIS and payroll systems;

• Strong analytical and problem-solving skills with attention to detail;

• Expertise in HR data management and payroll reporting;

• Excellent communication and collaboration skills across cultures and functions;

• Fluency in Romanian and English.
