Qualifications:

•
2-3 years experience in HR administration, onboarding, or people operations

•
Knowledge of employment documentation and HR record-keeping practices

•
Proficient in Google applications and Google Workspace (Docs, Sheets, Drive, Forms, Calendar)

•
Proficient in Microsoft applications (Word, Excel, PowerPoint, Outlook)

•
•Experience working with Applicant Tracking Systems (ATS) and HR databases

Goals of this role:

Ensure a smooth, timely, and compliant end-to-end onboarding experience for all new hires by managing documentation, coordination, and records management, while maintaining accurate HR files and audit-ready paper trails in line with company policies

and statutory requirements.

Responsibilities:

1. Manage the end-to-end onboarding process for new hires, from pre-employment documentation to Day 1 readiness and post-onboarding completion

2. Coordinate closely with Recruitment, Hiring Managers, IT, Facilities, and Payroll to ensure all onboarding requirements are completed accurately and on time

3. Prepare, collect, verify, and maintain all employment-related documents (contracts, government forms, personal data sheets, acknowledgements,

policies, etc.)

4. Ensure completeness, accuracy, and proper filing of both physical and electronic employee records in compliance with data privacy and retention policies

5. Maintain clear and traceable paper trails for audits, internal reviews, and compliance requirements

6. Update HR systems and trackers with new hire information, onboarding milestones, and document status

7. Provide onboarding guidance to new hires, addressing documentation requirements, timelines, and basic HR-related queries

8. Monitor onboarding progress and follow up on missing or pending requirements to ensure timely completion

9. Support continuous improvement of onboarding processes, checklists, templates, and filing systems

10. Manage confidentiality and sensitive employee information with the highest level of integrity and professionalism.
