We are seeking an HR Administrator to join our team, working collaboratively to enhance the delivery of human resources services and support to employees and leadership.
Under the direction of the Human Resources Manager, the HR OHS Administrator serves as a point of contact for employees on HR-related matters, providing administrative and operational support to the Human Resources team. This role involves managing correspondence, maintaining and updating internal databases, tracking employee leaves, performance reviews, coordinating training, as well as supporting recruitment efforts and managing Criminal Record Checks. The HR Administrator also assists with planning employee events, monitoring compliance with policies, and preparing monthly statistical reports.
This is a Term Contract Position with an end date of August 31st, 2026.

What you'll do
Employee Support & Communication
Provide initial, non‑complex administrative and informational support to employees regarding Occupational Health & Safety processes, including explaining forms, documentation requirements, timelines, and general procedures.
Oversee the Health & Safety inbox, answering basic questions or escalating issues.
Draft and prepare safety reminders, updates, and notices to employees in collaboration with HR Manager and the Occupational Health & Safety Officer.
Escalate questions, concerns, or complex matters as appropriate to the Occupational Health & Safety Officer or HR Manager.
Incident Reporting & WorkSafeBC Support
Support incident reporting processes by collecting general information, entering data, and assisting with the administrative components of initial reporting to the Occupational Health & Safety Officer.
Help prepare WorkSafeBC documentation, including incident reports and related forms.
Ensure timely submission and tracking of necessary forms, communications, and documentation.
OHS Administration & Record Management
Maintain and update Human Resources and Occupational Health & Safety records, documentation, and digital filing systems in accordance with internal standards and regulatory requirements.
Track Occupational Health & Safety-related employee training records, certifications, compliance documentation, and expiration dates. Follow-up with notifications on trainings needing to be completed.
Ensure accuracy, organization, and confidentiality of all safety‑related information.
Coordination & Reporting Support
Draft templates, surveys, forms, posters, notices, etc.
Assist in preparing Occupational Health & Safety reports, meeting agendas, meeting minutes, and safety‑related correspondence.
Support internal and external safety reporting, as assigned.
Support initial reviews of training needs, gaps, procedures, and safety-related information across departments.
Use Microsoft Excel and other approved software to maintain logs, track KPIs, create charts, and support safety dashboards.
Training & Meeting Support
Assist with the development, formatting, and scheduling of internal safety training sessions and presentations.
Support the administrative coordination of program-specific safety meetings across departments, including, toolbox talks, and training sessions.
Support tracking of attendance and follow‑up actions related to training and meetings.
Inspections & Corrective Action Tracking
Help coordinate workplace inspections, as directed. May participate in inspections, if directed.
Assist with tracking findings, corrective actions, and follow‑ups to support completion and documentation as completed by the Occupational Health & Safety Officer.
Return‑to‑Work & Claims Administration Support
Support established return‑to‑work processes by gathering documentation, coordinating administrative tasks, and assisting Human Resources and Occupational Health & Safety team with tracking and follow‑up activities.
Assist with claims‑related administrative coordination as required.
What you bring
Qualifications
2+ years of related experience in health and safety, administration, or a combination of both.
Completion or progress toward a safety certificate (e.g., JOHS training, OFA Level 1/2/3, basic safety courses).
Experience supporting safety committees or participating in workplace inspections.
Familiarity with WorkSafeBC processes, forms, or claims handling (asset).
Knowledge of incident investigation basics.
Strong proficiency in Microsoft Excel (sorting/filtering, formulas, spreadsheets).
Excellent organizational and time‑management skills.
Strong communication skills, both written and verbal.
High attention to detail and ability to maintain confidential information.
Preferred:
First Nations candidates are strongly encouraged to apply.
Lived experience as a member of a First Nations community.
Knowledge and understanding of Seabird Island’s culture, traditions, teachings, community dynamics.
Ability to respond quickly and professionally to community or colleague needs and inquiries.
Excellent writing, editing, and verbal communication skills.
Experience with HRIS and ATS software preferred.
Experience in Citation Canada or Bamboo HR is preferred.
Cultural Competency:
Deep understanding of First Nations cultures, traditions, and contemporary issues.
Experience working within Indigenous communities and applying culturally safe practices.
Understanding of intergenerational trauma and its impacts on Indigenous peoples and communities.
Working / Special Conditions
Initial and ongoing employment is subject to submission of a clear Criminal Record Review Program Check to ensure the safety and trust of the communities we serve. This check will be conducted every five years.
Initial and ongoing commitment to the values and guidelines of Sq'éwqel (Seabird Island Band), including our policies, procedures, standards of practice, and laws, is essential. This commitment supports our collective work, the community, and the responsibilities of this role.
Must possess a valid class 5 driver's license and have access to safe and reliable transportation, insured for community-based use, to effectively engage and support projects, work, and initiatives.
