Mont-Joli, Quebec | Mining North America

The HR & Benefits Advisor supports the delivery of effective HR Services and benefits administration across the Mont-Joli site and, where required, other Mining locations in North America. The role contributes to operational excellence by ensuring accurate HR documentation, benefits administration, payroll coordination, and compliance with internal policies and regulatory requirements.

Working closely with the HR Business Partner, HR Services Lead, Payroll Specialists, and site leadership, this position plays an important role in maintaining a responsive, compliant, and employee-focused HR service model.

Role Purpose & Contribution

The HR & Benefits Advisor administers HR services processes and maintains company benefit programs while interfacing with internal stakeholders, government agencies, and benefit providers. The role supports department goals through structured documentation, system accuracy, and employee support.

This position may also provide coverage across the North American Mining HR Services team during periods of leave or transition.

Key Responsibilities

HR Administration & Employee Lifecycle

• Prepare HR documentation for new hires, rehires, changes, layoffs, and terminations

• Draft offer letters, position change letters, and other employment documentation (reviewed by HR Business Partner prior to issue)

• Prepare disciplinary and termination letters as requested

• Manage employee onboarding documentation and orientation support

• Maintain and update employee records, demographic information, and employment data

• Transition and maintain personnel records within electronic filing systems

• Maintain confidentiality of company and employee information

Systems & Data Management

• Create and terminate employee profiles in systems such as Kronos, Ceridian/ADP, Manulife, Desjardins, and RBC

• Update employee status across systems as required

• Run regular reports and provide probationary period tracking to HR Business Partner and supervisors

• Support invoice coding, purchase order creation, and finance coordination

• Assist Finance during audit processes by providing documentation and explanations

Benefits & Pension Administration

• Manage benefits administration including open enrolment and annual reconciliations

• Provide benefit documentation, rate updates, and employee communications

• Coordinate pension plan contribution files and communicate with providers such as Manulife, Desjardins, and Eckler

• Support Short-Term Disability (STD) and Long-Term Disability (LTD) administration

• Assist employees with benefits enrolment, claims, disability forms, and beneficiary updates

• Liaise with benefit providers regarding disability cases and updates

• Support retirement documentation for hourly employees

Payroll & Cross-Functional Coordination

• Distribute weekly and monthly payslips in a timely manner

• Notify Payroll, IT, Safety, and relevant departments of employee status changes

• Coordinate access, system permissions, and onboarding logistics

• Work closely with Payroll Specialists and HR Services teams to ensure compliance and accuracy

Recruitment & Onboarding Support

• Partner with the recruitment team to post job advertisements and support hiring activities

• Conduct candidate pre-screening interviews and coordinate interview scheduling

• Organise onboarding activities and employment checks, including background checks and medicals

• Ensure new starter information is accurately submitted to Payroll

• Participate in job fairs and support recruitment initiatives as required

Training & Reporting Support

• Generate monthly training completion reports and escalate non-compliance

• Update systems to reflect course completion

• Support onboarding and training within the HR Services team

Projects & Continuous Improvement

• Support HR system implementations, pension updates, and policy reviews

• Assist in maintaining up-to-date job descriptions

• Contribute to engagement committees and HR-related projects

• Identify opportunities to improve processes and documentation accuracy

People & Organisation

The role requires strong collaboration across supervisors, managers, employees, and the broader People & Culture team. Effective communication, discretion, and responsiveness are essential to maintaining trust and service quality.

Key Technical Criteria:

Qualifications

• Fluent in English and French

• High School Diploma

• Previous HR experience required

Experience

• Demonstrated years of experience in an HR Administrator, HR Assistant, or Benefits Administration role

• Experience supporting multi-site locations across Canadian provinces is advantageous

• Strong proficiency with Microsoft Office (Excel and Word)

This role offers the opportunity to contribute to a collaborative HR Services team while supporting employees and leadership across Bradken’s Mining operations in North America.

This position is a parental leave opportunity (Remplacement pour congé de maternité/parental) and will be onsite based in Mont Joli Bradken - 1700 Rue Henri Rouleau, Mont-Joli, QC G5H, Canada
