Position Summary

Under the direction of the Director of Children and Families, the Housing Administrator will support the Senior Housing Manager and the Project Coordinator to explore and secure an appropriate property to establish a safe, accessible, and secure Reunification Home for First Nations families involved with or at risk of involvement with the Child and Family Services (CFS) system. The incumbent will perform administrative duties for the project team.

Provide administration support to the Project Coordinator and team.

Seek property options and gather detailed information to inform the Project Coordinator.

Conduct community outreach for research and gather information on community programs, resources, and amenities for future clients residing at the Reunification Home.

Facilitate all aspects of the application process including maintaining and administering the waitlist, showing the property to interested clients, and assisting clients who have been selected in submitting the necessary documents to qualify for a unit.

Inform the development of an operational plan including policies and procedures for the Reunification Home once secured.

Assist clients, along with their support staff and family members in completing applications and providing necessary documents to be placed on waiting lists for affordable housing rental properties.

Communicate with property managers/affordable housing developers to maintain a current and accurate list of affordable housing/rental properties which are accepting applications for a waitlist.

Maintain diligent, up-to-date documentation of activities and tasks as they evolve to update partners and stakeholders.

Maintain diligent, up-to-date case notes regarding client intakes and interactions for data collection and reporting.

Perform work in a culturally responsive manner that is consistent with the First Nations Family Advocate Office (FNFAO).

Other duties as assigned.

Qualifications

Completed an Administrative Assistant Program from a recognized college or technical institute or a combination of two year’s related experience and/or education/training.

A minimum of two years’ experience and demonstrated competence in the field of housing.

Experience working with First Nations.

Must be able to work well under pressure and meet deadlines.

Excellent administrative, written, communication, editing, organizational skills and research abilities.

Strong problem solving and organizational skills.

Proficient use of Microsoft Office applications including Word, Excel and Outlook.

Adherence to standard office practices, procedures and confidentiality.

Applicants must provide criminal record and child abuse registry checks.

Ability to work flexible hours and travel upon request.

A valid driver’s license and reliable vehicle.
