Position Purpose: The Health Information Specialist is responsible for gathering records and preparing patient charts for upcoming appointments as well as receiving and triaging incoming requests for the release of information.
Essential Responsibilities (Non-Occupational Exposure):
Respond to requests and validate authorization and/or other legal requests via US mail, email, voicemail, or facsimile.
Responsible for managing and promptly responding to messages on the direct Health Information line.
Assist with telephone calls, as needed.
Review Release of Information requests for completeness and use judgment to process in-house or utilize outsourcing vendors.
Maintain confidentiality of patient records.
Ensure and maintain that requests are received and processed in a timely manner for patient appointments.
Prepare patient charts with necessary reports and scanned documents in accordance with the patient’s upcoming appointment(s).
Communicate with departments regarding any patient appointment or referral concerns.
Support Follow My Health users through troubleshooting and proper escalation when warranted.
Act as auxiliary support to the HIM Communications Specialist and switchboard operation.
Responsible for processing incoming faxes and disseminating patient test results to applicable departments.
May be responsible for a variety of administrative functions such as word processing, reporting, and filing.
Completion of all required compliance and safety training.
Perform special projects or other duties as assigned.
Basic Requirements:
High school diploma or equivalent.
Minimum of two years of experience with customer service.
Willingness to learn Electronic Health Records and other pertinent software.
Proficiency with phone systems and Microsoft Office Word, Excel and Outlook.
Preferred Requirements:
Prior experience in a medical office or HIM department.
Familiarity with HIPAA regulations and electronic health record (EHR) systems.
Location & Commitments:
Mankato office: 1431 Premier Drive | Mankato, MN 56001.
Full-time position M-F 8:00 a.m. – 5:00 p.m. with flexibility.
Reliably commute or plan to relocate before starting work.
