Why this role exists:
This role exists to build and scale a seamless, efficient, and human-centered office environment across locations. You’ll help us create a workspace where teams can do their best work — by owning office operations, enabling hybrid work, and ensuring our infrastructure, vendors, and internal services run smoothly at scale.
What you’ll drive:
Strategy & outcomes
• Define and evolve workplace strategy across offices and hybrid setup.
• Align office operations with company growth and business priorities.
• Own budget planning, forecasting, and cost optimization.
• Measure and improve operational efficiency and employee experience.
Discovery & decisions
• Analyze office needs, usage patterns, and workplace data.
• Evaluate tools (desk booking, attendance tracking, travel management).
• Identify gaps and opportunities in current admin processes.
• Make decisions on vendors, locations, and operational models.
Delivery & execution
• Own end-to-end office operations across locations.
• Ensure smooth day-to-day functioning of all office services.
• Manage vendor relationships, contracts, and negotiations.
• Oversee travel operations and support company-wide mobility needs.
• Implement and improve administrative processes and tools.
Stakeholder & cross-team collaboration
• Partner with IT, Security, HR, and Finance teams.
• Act as a key point of contact for office-related topics.
• Support leadership with data, analysis, and operational insights.
• Ensure clear communication across teams and locations.
People & leadership
• Build, lead, and develop a high-performing admin team.
• Set goals, track performance, and provide regular feedback.
• Create a culture of ownership, trust, and accountability.
• Ensure team engagement and continuous development.
What makes you a GR8 fit:
Must-have
• 5+ years in Office Administration / Operations, including leadership experience.
• Proven experience managing office operations at scale (multi-location is a plus).
• Strong vendor management and contract negotiation skills.
• Experience with budgeting, forecasting, and cost control.
• Ability to work cross-functionally and influence stakeholders.
• Strong organizational skills and ability to handle competing priorities.
• Fluent English (for cross-team communication).
Nice-to-have
• Experience in tech/product companies.
• Familiarity with workplace tools (desk booking, attendance, travel systems).
• Experience building or scaling hybrid work environments.
• Background in compliance, policies, or workplace standards.
