[HCM] Procurement Intern (Food)

4P’s, headquartered in Ho Chi Minh City, Vietnam, operates 40 worldwide restaurants. I. ROLE PURPOSE

The Procurement Intern (Food) will provide administrative and operational support to the Import/Logistics team, specifically focusing on the following areas:

II. KEY ACCOUNTABILITIES

• Documentation Support: Assist in preparing and verifying essential import documents, including Commercial Invoices, Packing Lists, Bills of Lading, and Certificates of Origin (C/O).
• Regulatory Compliance: Support the team in preparing Product Self-Declaration and applications for Food Safety Inspection and Quality Control (QC) for imported food items.
• Shipment Tracking: Monitor shipment statuses from overseas suppliers to the local warehouse and provide regular updates on the Estimated Time of Arrival (ETA).
• Stakeholder Communication:  

- Coordinate with Freight Forwarders and Shipping Lines to request freight quotations and arrange delivery schedules.

- Coordinate with Customs Broker to follow up the whole process to release the shipments

• Data Management:  Update shipment data into the internal SAP/tracking system and maintain a well-organized filing system for both physical and digital records.
• Claims & Supplier Coordination: Assist in inspecting imported goods upon warehouse arrival, documenting any quality issues, shortages, or damages, and liaising with suppliers to follow up on claims, corrective actions, and replacement/compensation arrangements.

III. REQUIRED QUALIFICATIONS

Education Background

• Minimum: Currently pursuing or recently graduated with a Bachelor’s degree in Supply Chain, Business Administration, or related fields.

• Preferred: Solid understanding of procurement compliance and budget control.

Language Proficiency

• Required: English – Intermediate to Advanced (spoken & written).

IV. REQUIRED EXPERIENCE

Minimum Experience Duration Fresher to 1 year of experience. (Note: Input mentions 2 years in one section but "Fresher" in another; this role is structured as an Internship/Entry-level position).

Relevant Experience

• Required: Basic proficiency in MS Office (Excel/Word).

• Preferred: Background or interest in F&B/FMCG industries; experience working in a restaurant chain is an advantage.

Stakeholder Influence & Collaboration

• Required: Ability to collaborate with cross-functional teams and maintain a supportive working culture.

Industry or Domain Expertise

• Required: Understanding of basic procurement cycles (Sourcing to Payment).

• Preferred: Familiarity with non-food categories in a service-driven environment
