Te Whiwhinga mahi | The opportunity
We have an exciting opportunity for an experienced, highly organised Group Services Coordinator to join the Faculty of Arts and Education on a 12-month fixed-term basis to cover a secondment. This 0.8 FTE role (30 hours per week) supports the School of Education and Social Practice and works closely with academic leaders, professional staff, and key faculty teams.
This is a pivotal role in which you will help ensure the smooth running of school operations—supporting people processes, coordinating activities, and enabling our academic community to focus on teaching, research, and engagement.
As Group Services Coordinator, you will provide high-quality administrative and coordination support across a range of faculty activities. Your work will include:
• Supporting staff lifecycle processes such as recruitment, onboarding, leave administration, and academic review processes
• Coordinating meetings, seminars, workshops, committees, and school events
• Maintaining accurate records, electronic filing systems, and operational documentation
• Assisting with purchasing, finance processes, and general operational coordination
• Contributing to continuous improvement initiatives and delivering excellent customer-centred service across the faculty
This is a part-time (30 hours per week) 12 month fixed-term position

You are a proactive and relationship-focused administrator who thrives in a busy, collaborative environment. You bring:
• Existing knowledge and experience of the university’s administrative systems, workflows, and tools, including non-advertised recruitment, school event coordination, and committee/board support.
• Strong organisational skills, attention to detail, and the ability to manage competing priorities
• Excellent interpersonal, written, and verbal communication skills
• Confidence working with multiple stakeholders and building effective working relationships
• Strong digital capability, including Microsoft Office and administrative systems
• A professional, customer-focused approach and the confidence to coordinate, negotiate, and problem-solve
