**Key Responsibilities:**
**Calendar and Travel Management**
• Manage complex executive calendars across multiple time zones, coordinating appointments and rescheduling as priorities change
• Plan and coordinate travel arrangements, including flights, hotels, ground transportation, and comprehensive travel documentation
**Meeting and Events Coordination**
• Arrange and coordinate internal and external meetings, conferences, and corporate events in collaboration with the Events Planning team as needed
• Prepare meeting rooms, coordinate catering, manage technical requirements, and distribute agendas and follow-up materials
• Maintain meeting minutes and track action item completion
**Financial and Expense Management**
• Manage and submit time and expense reports accurately and within company deadlines
• Process purchase orders, provide invoicing support, and assist with accounts reconciliation
• Monitor departmental budgets and track expenses against allocated funds
**Correspondence and Documentation**
• Prepare non-routine correspondence, memos, proposals, and reports per company guidelines
• Prioritize and respond to incoming correspondence independently within delegated authority
• Maintain organized filing systems (physical and electronic) and create standard operating procedures and templates
**Vendor and Stakeholder Coordination**
• Coordinate with internal departments and external suppliers to address support needs and resolve administrative issues
• Develop strong working relationships with executives, clients, and administrative staff
• Negotiate basic service agreements and coordinate contract renewals
**Administrative and Operational Support**
• Manage voicemail systems, email distribution lists, and office supplies inventory
• Support onboarding activities for new team members and assist with human resources administrative tasks
• Provide backup administrative support during peak periods and handle ad-hoc executive requests as needed
• Maintain accuracy, efficiency, and confidentiality across all administrative processes
