Quick Summary

We are seeking a highly organized, proactive, and driven team member to contribute to a cutting-edge fungal research project.

Job Description

Cultivarium is a Convergent Research Focused Research Organization (FRO) with a mission to accelerate the adoption of novel microorganisms for biotechnology. We are looking for experts who can contribute both individually and as part of a team to create tangible solutions for a ‘moonshot’ project. You will be part of a close-knit, driven team of scientists and engineers that are building technological infrastructure for the cultivation of non-model microorganisms, to open new avenues for science, technology, medicine, and agriculture.

Cultivarium is seeking a highly organized, proactive, and detail-oriented Community Project Coordinator for our flagship initiative aiming to expand access to non-model fungi. This role sits at the intersection of community engagement and project management. The Community Project Coordinator will serve as an internal and external operational hub for the program, coordinating, planning, tracking, documenting, and managing communications across a multi-stakeholder research effort involving the global fungal research community.

This is a full-time, on-site position well-suited for someone who thrives in a fast-paced, research-driven environment and enjoys bringing structure, clarity, and momentum to ambitious scientific projects.

Key Responsibilities:

Community Coordinator
• Initiate, manage, and oversee program outreach efforts with the global fungal scientific community.
• Maintain working relations with a large number of community experts to routinely solicit information about organisms and methods.
• Develop and conduct community surveys for feedback.
• Coordinate and attend meetings with community experts, keep meeting notes, prepare meeting materials and discussion topics, and manage follow-up communications.
• Manage incoming community-related communications. Assist in scheduling meetings with external collaborators.
• Build and maintain a structured database of researchers, collaborators, and community contacts.
• Research and track scientific conferences, workshops, and community events relevant to fungal biology, microbiology, and biotechnology.
• Draft short research briefs, background summaries, and landscape overviews related to scientific events, emerging communities, or thematic areas of interest.
• Coordinate logistics for in-person and virtual scientific meetings, workshops, and convenings, including scheduling, speaker coordination, and materials preparation. Support speaker preparation, information sharing, and post-event follow-up.

Project Management
• Support planning and execution of the Fungal Program by maintaining clear project documentation, timelines, and milestone tracking in collaboration with program leadership.
• Assist in the development and upkeep of concise project plans, including scope, objectives, deliverables, timelines, and dependencies.
• Track progress against milestones and flag risks, delays, or resourcing needs; support follow-up on action items.
• Prepare meeting agendas, capture notes, document decisions, and track action items for program meetings.
• Help compile progress summaries, internal updates, and external reports aligned with Wellcome Trust–funded program requirements.
• Maintain organized repositories of program materials, protocols, presentations, and reference documents.
• Provide general administrative and coordination support, including document formatting, meeting follow-ups, and light calendar management.
• Support internal research planning efforts and cross-team initiatives as needed.

Qualifications:
• >3 years of experience in fungal research is required.
• >3 years of experience in program coordination, project management, operations, or a similar support role is required.
• Bachelor’s degree required in scientific or research-intensive fields (e.g., biology, bioengineering, microbiology, public health, or related disciplines).
• Demonstrated ability to manage multiple workstreams, track details, and follow projects through from planning to execution.
• Strong organizational skills with excellent attention to detail.
• Ability to synthesize complex information into clear, concise written summaries.
• Ability to navigate scientific content such as conference programs, research abstracts, and technical documentation.
• Strong written and verbal communication skills; professional and thoughtful in external interactions.
• Proficiency with Google Workspace and Microsoft Office; familiarity with collaborative and project management tools (e.g., Notion, Airtable, Slack, Monday, or similar) is a plus.
• Self-starter who demonstrates initiative and can operate effectively with limited oversight.
• Demonstrated commitment to diversity, inclusion, and cultural awareness through actions and communication.

We Offer:
• An opportunity to change the world and work with some of the smartest and most talented experts from different fields.
• Excellent medical, dental, and vision insurance through a PPO plan; parental leave.
• Generous time off + paid holidays.
• Wellness allowance for fitness and wellness activities.
