JOB TITLE: Fundraising and Events Coordinator
DEPARTMENT: RESOURCE DEVELOPMENT
REPORTS TO: Director of Development
The Fundraising and Events Coordinator advances the mission of Community Harvest Food Bank by planning and executing fundraising and community events while cultivating and stewarding individual donors. This full-time role is responsible for managing event logistics, securing sponsorships, and supporting donor engagement strategies to increase financial support. The ideal candidate is highly organized, detail-oriented, and skilled in relationship-building. This is a full-time in-office position with hours of 7:30 AM – 4:00 PM Monday through Friday and during the occasional event. This position will work collaboratively with the Engagement Manager and will report to the Director of Development.
ESSENTIAL JOB FUNCTIONS:
Event Planning & Sponsorships – 50%
Plan, coordinate, and execute fundraising and community events (e.g., Annual Fundraiser, Canstruction, U Can Crush Hunger, Trunk or Treat, Serving You Saturday, appreciation events).
Manage event logistics: venues, catering, permits, entertainment, rentals, decor.
Develop and track event timelines, budgets, and checklists.
Coordinate invitations, registrations, and attendee communications.
Identify, solicit, and secure sponsorships and in-kind donations in partnership with the Engagement Manager.
Collaborate with Engagement Manager and Director of Development for event promotion and sponsor recognition.
Oversee on-site event setup, execution, and breakdown.
Monitor and assess event success; collect feedback for improvements.
Fundraising & Donor Engagement – 50%
Manage a portfolio of approximately 30-40 individual donors.
Implement strategies for donor acquisition, retention, and growth.
Conduct donor meetings, presentations, and site tours.
Assist with moves management for donors capable of increasing their annual contributions.
Work with Donor Relations Manager to track donor interactions and progress in CRM.
Support stewardship activities and donor appreciation efforts.
ADDITIONAL RESPONSIBILITIES:
Represent Community Harvest Food Bank at networking and promotional events.
Maintain accurate records of event expenses, sponsorships, and donor interactions.
Collaborate with staff, volunteers, and community partners to advance fundraising goals.
Participate in department and staff meetings, as well as the Fundraising Committee.
Very occasional evening and weekend hours as requested during events.

PROFESSIONAL REQUIREMENTS:
Minimum 2 years of experience in fundraising, event planning, or related field.
Proven ability to build and maintain strong relationships.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational skills and the ability to manage multiple priorities are a must.
Proficiency in computer use and Microsoft Office Suite and/or Google Workspace; CRM and/or Notion experience a plus.
Availability for occasional evenings/weekends; reliable transportation.

EDUCATIONAL REQUIREMENTS:
Associate or Bachelor’s degree in nonprofit management, business, marketing, communications, or related field; or equivalent experience.
