Alta Mira is a non-profit organization that has been supporting individuals with developmental or intellectual delays or disabilities, and their families, since 1985. We provide services to all age groups. We support over 800 children annually through our Early Intervention Program and 1500 adults in our Family Support Services. EXPERIENCE NEEDED
Two years of prior office experience preferred. Familiarity with the Developmental Disabilities fields a plus. A high school diploma is a must. Bilingual in English/Spanish is required.
Job Responsibilities:
Warmly greet visitors and create a positive first impression.
Answer questions and provide information about the agency, services, or location.
Handle complaints and resolve issues efficiently and professionally.
Maintain established work schedule, be punctual, use time effectively, and demonstrate willingness to adapt schedule to meet the unexpected needs of the agency.
Perform duties in an organized, efficient, and timely manner.
Organize, prepare, and maintain the same materials in a prompt manner.
Support and communicate in a positive way, the decisions of the HR Director/management to other staff, contractors, families, and individuals in the community.
Process all incoming and outgoing mail.
Facilitate the visitor check-in and check-out process.
Keep the front office area clean, organized, and presentable.
Accept, process, and record payments received according to agency procedures
Check references for all selected applicants
Give and receive Interest and Availability forms.
Communicate with FSS Service Coordinators regarding potential new providers.
Collect all necessary paperwork from all contractors.
Ensure completeness of contractor’s documentation, and upon completion, release the file to HR/Training assistant for further processing.
At the end of the day, turn all lights off (except for lobby lights) and secure the building before leaving for the day.
Perform COR checks and DOH/ECECD background checks for all new employees.
Ensure that only active employees are in the DOH database.
Maintain office security by following safety protocols.
Keep current active employee names on mailboxes.
Create and keep available contractor applications.
Work closely with the Training Manager and HR/Training Assistant on all training issues.
Manage incoming and outgoing phone calls and direct them appropriately.
Adhere to standards, rules, and regulatory bodies in all activities associated with Alta Mira.
Provide support for special projects as needed
Assist with data entry, filing, and other administrative tasks.
