Our growing Westland Clinic is seeking an organized and engaging Front Desk Coordinator to manage clerical, administrative, and general reception and clinic operational activities at the front desk. This position ensures that all guests are given a warm welcome while efficiently executing prescribed front desk activities including answering phones, greeting visitors and managing patient flow, and supporting front desk volunteers.
Position works 16-20 hours per week, Tuesday and Friday 8:30-4:30, and alternating Saturdays from 8:30-12:30.
Hope Clinic offers a generous paid time off package: vacation and sick time, plus a number of paid holidays including the week between Christmas and New Years.
Required Education and Experience:
Minimum HS Diploma or GED
At least one year of demonstrated reception or administrative support experience in a customer-facing position, preferably in a professional, clinical environment
Supervisory experience preferred

Strong interpersonal skills to effectively interact with a diverse population of patients, volunteers, and guests
Calm and friendly demeanor to ensure a warm and welcoming environment
Dependable and reliable, including consistent attendance and punctuality
Strong computer proficiency and ability to learn new software systems
Excellent time management and organizational skills
Strong administrative skills to manage and execute efficient clinic operational procedures
Essential Functions:
Prompt opening and closing of the clinic each day, as determined by Clinic Manager
Patient reception and registration, including screening for appropriateness for walk-ins and redirecting patients when needed
Patient flow management
Answer multi-line telephones
Schedule appointments both onsite and via telephone
Provide lab and x-ray services directions
Perform general administrative tasks such as reminder calls, data entry of green sheets, COVID Screening, etc. as needed, ensuring completion before clinic close
Manage volunteer assignments for various administrative tasks as listed above, providing training and oversight to assigned volunteers
Ensure patient paperwork is filled out with visit information, as well as other any other documents needed to verify that patient charts are complete at check out
Assist clinical volunteers in locating supplies, lab slips, test requisitions, etc.
Initiate and complete emergency food/aid referrals for patients
Provide resource information to patients, volunteers or others
Ensure volunteers record hours in volunteer sign in log.
Inform (e.g., via notes) other clinic staff of issues to be addressed
Make phone calls and reschedule appointments as requested by supervisor
Ensure a trained volunteer is assigned to manage reception duties in the event of an absence
