The Role

This role is responsible for the day-to-day maintenance, data integrity, and technical upkeep of Evidence Action’s Planful environment, combined with hands-on FP&A work including financial reporting, variance analysis, and planning cycle execution. Under the leadership of the AD, FP&A, the role balances system administration with the analytical output that finance leadership and program teams rely on for decision-making.
The role is structured across six integrated workstreams:

Reporting and Analysis

• Build and maintain Dynamic Reports and SpotlightXL reports for monthly close packages, under the direction of the FP&A AD and Finance AD on report design and content
• Produce monthly budget-vs-actual and forecast-vs-actual variance analysis at the entity and funder code level; flag material variances and draft explanations for review
• Maintain and update standard report library across audience-specific folders (finance leadership, program finance, regional directors, etc.)
• Support allocation rate calculations and validation (IDC rates, fringe, regional pools, country shared cost pools, US Facilities, IT Chargeback) during each planning cycle
• Respond to ad hoc reporting and analysis requests from program finance, regional directors, and other stakeholders as directed by the FP&A AD, Finance AD, or CFO.
• Review consolidated trial balances and Planful output after each monthly close for anomalies, FX translation variances exceeding thresholds, and intercompany elimination completeness; investigate discrepancies across source systems (Sage Intacct, Tally, Planful) and escalate findings

Dimension and Hierarchy Maintenance

• Add and maintain segment members in Planful (accounts, funder codes, departments, activities, geoscope, and entities) as they are created in Sage Intacct.
• Maintain funder code hierarchies, including leaf member creation, UDA population (IDC Rate, Restriction Type, SOFE), and correct hierarchy placement.
• Ensure all new segments are accurately reflected across relevant hierarchies and budget entity structures.
• Maintain and update translation tables (segment mappings) for both Sage Intacct and Tally integrations, ensuring new codes flow correctly into Planful.

Integration Monitoring and Data Loading

• Monitor the daily Sage Intacct-to-Planful integration and verify data loads complete without errors; troubleshoot and escalate failures as needed.
• Execute and monitor monthly Tally-to-Planful data loads via Celigo/SFTP, including verifying file format compliance (UTF-8, correct JSON structure), confirming successful processing, and flagging issues.
• Reconcile Tally data loads against the source to ensure completeness and accuracy each month.
• Execute DLR (Data Load Rule) uploads as directed (full-file and incremental loads), applying correct period clearing logic.

System and User Administration

• Maintain and update FX rate tables in Planful on a monthly basis using rates sourced from Oanda (average rates for P&L, end-of-month spot rates for balance sheet).
• Maintain and update Planful system variables as directed, including time-related variables (current month, current year) that drive report and template behavior
• Add new users to Planful, assigning security roles and dimension-level access based on direction from the FP&A Director.
• Deactivate users and update access as roles change, following established access protocols.
• Serve as the first point of contact for basic end-user questions (login issues, navigation, access requests).

Documentation and Support

• Create and maintain Standard Operating Procedures (SOPs) for recurring tasks: data loads, segment additions, translation table updates, FX rate updates, user provisioning, and integration monitoring.
• Develop troubleshooting guides for common issues (integration failures, file format errors, mapping mismatches).
• Maintain an internal knowledge base to ensure procedures are documented and repeatable.
• Coordinate with Planful support on case submissions and track resolution; escalate platform issues to the FP&A Director as needed.

Planning Cycle Support (as directed)

• Support annual budget and reforecast cycles by loading data files, updating dimension members, and preparing templates as directed by the FP&A Director.
• Manage scenario workflow mechanics: distribute templates, track submission status, and lock/unlock budget entities, and support consolidation after each submission round
• Review budget and forecast submissions for completeness and reasonableness before passing to the FP&A AD or Finance AD for approval
• Produce planning cycle summary output (consolidated budget/forecast snapshots, submission status tracking, variance summaries) for finance leadership review.

Requirements:
• Master’s degree in Accounting / Finance required; CA preferred
• Minimum 7-10 years of related experience in accounting and/or reporting
• Working knowledge of US GAAP; nonprofit accounting and fund accounting experience strongly preferred
• Experience with FP&A processes: budgeting, forecasting, variance analysis, management reporting
• Hands-on experience administering a financial system (EPM/CPM, ERP, or consolidation platform), including dimension maintenance, data loads, user provisioning, and integration monitoring in a multi-entity environment. Planful experience preferred; Adaptive Insights, Anaplan, or similar acceptable.
• Advanced Excel skills including financial modeling and data manipulation
• Comfort working across multi-currency, multi-entity environments
• Familiarity with ERP systems (Sage Intacct preferred) and ETL/integration tools a plus
