Systems: QuickBooks Online (QBO), EOS Scorecards, CPA coordination

🧭 About the Role

This is not a single-company bookkeeper role.

We are hiring a Financial Controller to own the financial health, accuracy, compliance, and reporting across a diverse, multi-entity portfolio that includes:

• Professional services (EOS Implementer)
• Real estate holdings
• Franchise retail & service businesses
• Manufacturing (food & beverage)
• Staffing (nearshore/offshore)
• Regulated alcohol production

You will be the financial backbone of the organization — ensuring clean books, proactive cash flow management, airtight compliance, and clear financial insights that leadership can trust.

This role requires precision, ownership, and comfort operating at scale across multiple businesses simultaneously.

• Superior Fence & Rail Arkansas – 2 franchise locations
• Signarama Destin – Sign & graphics business
• ScaleSource – Nearshore/offshore staffing company
• Other Companies added to the portfolio

🔁 Ongoing Responsibilities (Weekly / Monthly)

1️⃣ Weekly Reconciliation (QBO)

• Reconcile all accounts weekly across all entities
• Maintain clean, audit-ready books
• Resolve discrepancies quickly and thoroughly

2️⃣ Accounts Payable (AP)

• Ensure accurate vendor bill entry and categorization
• Reconcile AP balances and manage payment scheduling
• Coordinate with internal teams where required

3️⃣ Accounts Receivable (AR) & Invoicing

• Generate and issue invoices as needed
• Actively track collections and aging
• Provide weekly AR aging reports with action items

4️⃣ Sales Tax & Compliance

• File and remit sales tax (AR & FL)
• Track exemptions, taxable revenue, and documentation
• Maintain audit-ready compliance records

5️⃣ Cash Flow Forecasting

• Bi-weekly cash flow forecasts per entity
• Identify risks, surpluses, and timing gaps
• Partner with leadership on cash decisions

6️⃣ Budget vs. Actual Reporting

• Monthly variance analysis per business
• Flag overspend, margin erosion, or anomalies
• Recommend cost controls or reinvestments

7️⃣ Regulatory Filings

• Franchise taxes, Secretary of State filings
• Business licenses and renewals
• Industry-specific compliance (including alcohol manufacturing)

8️⃣ EOS Scorecards & L10 Support

• Prepare financial scorecards (2–3 KPIs per business)
• Support weekly Level 10 meetings
• Answer leadership questions clearly and confidently

9️⃣ CPA Coordination

• Monthly review meetings with CPA
• Prepare clean documentation for tax filings
• Reduce year-end fire drills through proactive prep

🔟 Financial Analysis & Planning

• Support growth initiatives and expansion analysis
• Assist with investment decisions and feasibility modeling

📆 2026 Scheduled Outcomes (Summary)

• Q1: Close 2025 books, tax prep, standardized dashboards
• Q2: Internal audit, automation improvements, cost optimization
• Q3: Mid-year review, forecasting upgrades, system evaluations
• Q4: Year-end readiness, AR cleanup, 2027 strategy planning

🎯 Required Qualifications (Non-Negotiable)

• 5+ years experience as a Controller or Senior Bookkeeper
• Advanced QuickBooks Online expertise (multi-entity)
• Experience managing AP, AR, sales tax, and compliance
• Comfortable supporting multiple businesses simultaneously
• Strong Excel / Google Sheets skills
• Clear written & verbal English communication

🎓 Certification Requirement

CPA Certified OR CPA-Eligible (meets requirements to sit for the CPA exam under NASBA International Exam guidelines)
