About the Role
We are looking for a Finance Operations Officer to join our growing team and support the financial operations behind our payments and acquiring platform. Reporting to the Finance Operations Manager, you will play a key role in ensuring merchant settlements, reconciliations, and client fund safeguarding processes run smoothly and accurately.
This role offers hands-on exposure to the end-to-end payments lifecycle, including merchant settlements, card scheme costs, and operational accounting. You will work closely with finance, operations, and payments teams to investigate discrepancies, improve processes, and help build scalable systems as the company grows.
This position is ideal for someone who enjoys solving complex reconciliation challenges, working with data, and contributing to a fast-moving fintech environment where there is real opportunity to shape how things are built.
Main Responsibilities
Merchant Reconciliations
Reconcile merchant settlements and balances between internal systems, gateway reports, and bank accounts.
Investigate and resolve discrepancies relating to merchant payouts, fees, and adjustments.
Ensure merchant balances are accurately recorded and monitored.
Financial Posting & Accounting
Post and maintain accounting entries relating to:
Merchant liability accounts
Card scheme settlement accounts
Payment processing fees and costs
Support month-end reconciliation and financial reporting processes.
Card Scheme Cost Management
Assist with monitoring and reconciling card scheme fees, interchange, and processing costs.
Support the review of scheme invoices and cost recovery from merchants, ensuring pricing structures remain sustainable and competitive.
Bank & Safeguarding Reconciliation
Perform reconciliations of operational and safeguarding bank accounts.
Ensure safeguarding requirements are met by verifying that client funds are appropriately segregated and protected.
Merchant Payments
Support the preparation and execution of merchant settlement payments.
Monitor payment cycles and ensure timely payouts to merchants.
Client Support
Provide feedback to client support team to respond to merchant queries relating to:
Settlement reports
Merchant balances
Payments and deductions
Provide clear explanations of reconciliation outcomes and settlement calculations.
Process Improvement
Help design and improve finance operations processes and reconciliation controls.
Work with internal teams to build scalable processes as the company grows.
Contribute to operational standards that improve efficiency and accuracy across teams.
Requirements
Experience & Knowledge
1–3 years experience in finance operations, payments, reconciliation, or accounting
Exposure to card acquiring, payments, fintech, or banking is highly desirable
Understanding of merchant settlements, card schemes, or payment flows is a strong advantage
Technical Skills
Strong Excel / data analysis skills
Experience working with reconciliation processes
Familiarity with accounting systems (eg. Xero) and financial postings
Experience using data tools or BI platforms (e.g. Tableau) is a plus
Personal Skills
Strong analytical and problem-solving ability
High level of attention to detail
Ability to work independently and take ownership
Comfortable working in a startup environment with evolving processes
Strong communication skills when dealing with internal teams and merchants
