Position Summary
We are seeking a highly organized, proactive, and detail-oriented Federal Capture & Proposal Coordinator to support our growing federal business development efforts. This role will assist with early-stage capture activities, preparation of sources sought and market research responses, opportunity tracking, and, over time, coordination and development of RFP responses.
The ideal candidate is a strong writer and project coordinator who can manage deadlines, organize information, and help turn business development strategy into high-quality submissions. This person will work closely with leadership and technical staff to support federal pursuit efforts from pre-solicitation through proposal submission.
Key Responsibilities
Support federal capture activities, including opportunity research, tracking, and pipeline organization
Review SAM.gov and other procurement platforms for relevant opportunities, sources sought notices, RFIs, and RFPs
Coordinate and draft responses to sources sought notices, RFIs, and other pre-solicitation requests
Help develop and maintain capture materials, including capability statements, past performance summaries, resumes, project sheets, and compliance matrices
Assist in analyzing solicitations and identifying submission requirements, deadlines, and key compliance items
Coordinate internal proposal schedules, content collection, reviews, and final production for RFP responses
Support development of proposal sections such as cover letters, executive summaries, corporate experience, key personnel, and management approaches
Track amendments, Q&A, submission instructions, and required forms for active pursuits
Maintain proposal files, content libraries, and templates to improve efficiency and consistency
Collaborate with leadership, technical staff, and external partners/subconsultants to gather inputs and keep pursuits moving
Help improve internal federal pursuit processes over time
Required Qualifications
2+ years of experience in one or more of the following: federal capture support, proposal coordination, business development support, government contracting, or professional services marketing/proposals
Strong writing, editing, and proofreading skills
Strong organizational and project coordination skills with the ability to manage multiple deadlines
Ability to read and interpret government notices and solicitation instructions
High attention to detail and ability to work accurately under deadline pressure
Proficiency in Microsoft Office, especially Word, Excel, Outlook, and PowerPoint
Ability to communicate professionally with internal teams and external partners
Self-starter mindset with willingness to learn federal procurement and proposal processes
Preferred Qualifications
Experience supporting sources sought, RFIs, or federal proposals
Familiarity with SAM.gov, federal procurement terminology, and government contracting processes
Experience with compliance matrices, proposal calendars, and content libraries
Experience in the AEC, professional services, engineering, architecture, environmental, or construction-related industries
Familiarity with teaming partner coordination and past performance data collection
Experience with Adobe Acrobat and proposal formatting/production
