Team Overview
As a Facilities Specialist, you will play an important role in the smooth facilities operations of the ADF Lansdowne, VA campus. This position combines advanced facility management tasks with strategic support to ensure that building systems, maintenance efforts, and operational workflows are managed effectively. You will serve as a trusted partner to the Facilities Manager and interact closely with staff and vendors. This position demands an exceptional degree of professionalism, attention to detail, and a strong commitment to service excellence.
Key Responsibilities
• Serve as the senior facilities assistant, assisting with leadership and oversight to the daily operations of the Lansdowne campus, including the main office building, Guest House, grounds, and common areas.
• Assist in managing key building systems (HVAC, security, irrigation, fire alarms) by coordinating routine inspections and providing backup support to the Facilities Manager.
• Oversee and perform general maintenance tasks on building systems such as lighting, plumbing, and HVAC. Oversee and complete various building repairs, including light carpentry, plumbing, drywall, and paint.
• Coordinate with vendors, contractors, and service providers, ensuring timely completion of services and adherence to contractual terms, and monitoring vendor invoices.
• Coordinate and lead the setup for meetings, conferences, and other events across the Lansdowne campus, ensuring the environment is prepared according to the needs of each event.
• Assist with office space configurations and workplace setups, including moves, changes, and seasonal adjustments to optimize workspaces for efficiency and comfort.
• Manage inventorying, ordering, and maintaining supplies for the facilities, including breakroom items, cleaning supplies, and attic stock (light bulbs, plumbing supplies, etc.).
• Manage all mail operations, ensuring incoming and outgoing mail is sorted and dispatched, and all shipments and deliveries to the campus are signed for, organized, and delivered promptly to team members.
• Assist the Facilities Manager with ensuring all facility-related safety protocols and training are up-to-date, including OSHA and fire safety.
Minimum Qualifications
• High school diploma with 3+ years of facilities management and maintenance experience.
• Knowledge of building systems and facilities management practices (HVAC, security, plumbing, electrical, fire safety, etc.).
• Ability to troubleshoot and resolve minor to moderate facilities issues quickly and efficiently.
• Strong communication skills with the proven ability to collaborate across teams, leading by example to deliver top-tier service to all staff and guests
• Strong organizational skills, attention to detail, and ability to follow-through on projects.
• Exceptional customer services and hospitality skills, going above and beyond to meet the needs of team members and other stakeholders.
Preferred Qualifications
• Associates or Bachelor's degree preferred.
• OSHA certification or other facilities management certifications a plus.
