Team Overview

This position will provide administrative support to the Director of Facilities and assist with project management for special initiatives and projects related to all domestic ADF office locations. If you are a positive, organized, detail-oriented person looking to serve our offices with a desire to continually improve, we would like to speak with you!

Key Responsibilities

• Manage monthly expense reports and serve as a delegate for other Facilities team members as needed, including coverage during vacation periods.

• Submit payment requests and obtain appropriate approvals for invoices related to construction projects and special initiatives.

• Run occasional errands in support of Facilities operations and related initiatives.

• Coordinate travel arrangements for the Director of Facilities.

• Track spending, run reports, and assist during budget planning season.

• Maintain organization of lease agreements, including calendaring reminders for key dates and renewals.

• Track project progress, maintain detailed records, and take notes during Facilities team meetings.

• Create reports and written materials to support the Director of Facilities, as needed.

• Schedule meetings on behalf of the Director of Facilities.

• Assist with the management of ADF facility renovation projects, including occasional travel.

• Maintain and organize Facilities resources, such as policies, maps, and reference materials, on the team site to ensure accuracy and accessibility.

• Support Facility Managers in maintaining software for space planning and management.

• Communicate with vendors involved in construction projects and special initiatives across ADF domestic office locations.

• Track project budgets and spending to support financial oversight.

• Obtain vendor quotes as directed by the Director of Facilities.

Minimum Qualifications

• Bachelor’s degree, or equivalent work experience in a related field.

• Minimum 3+ years of experience supporting the Facilities team or similar roles.

• Strong computer skills, including Microsoft Office, Word, Excel, Outlook, Access, PowerPoint, Project, and Visio

• Ability to travel on occasion as related to special projects.

Preferred Qualifications

• Property management, construction project, contract, and/or lease experience.

• Project management experience.
