Role Overview:

We are looking for a proactive and highly organised Executive Team Assistant to support our Chief of Staff and other C-suite executives. The ideal candidate will excel in a fast-paced environment, possess excellent communication skills, and be able to manage multiple priorities effectively.

Key Responsibilities:

• Provide comprehensive administrative support to the Chief of Staff, managing various tasks and projects.

• Coordinate complex calendars, scheduling meetings, activities, and events for C-level leaders.

• Prepare agendas, take minutes, and ensure follow-up actions are completed for internal and external meetings.

• Manage travel logistics, including flights, accommodations, and ground transportation, adapting to last-minute changes.

• Draft, proofread, and circulate letters, reports, and other documents to ensure accuracy and professionalism.

• Build strong relationships with clients, stakeholders, and administrative teams to facilitate effective communication.

• Handle important company documents, ensuring they are circulated for signatures and appropriately filed.

• Support special projects and ad hoc events, ensuring high standards of organization and execution.

• Utilise your proactive problem-solving skills to resolve issues efficiently.

Work Style:

While based in our Vilnius office, you’ll be on the move frequently - running errands, coordinating tasks, and handling what needs to get done. Requires a high degree of discretion, availability, and independent thinking. This is not a rigid "8–5 job " – flexibility is key.

Qualifications:

• Proven experience as an Executive Assistant or in a high-level administrative role, particularly supporting C-suite executives.

• Strong organisational skills with the ability to prioritize tasks and handle multiple calendars.

• Excellent written and verbal communication skills with keen attention to detail.

• Discreet and diplomatic, with the ability to manage sensitive information confidentially.

• Proficient in coordinating complex travel arrangements and adapting to changes quickly.

• Demonstrated professionalism and the ability to build relationships with internal and external stakeholders.

• Proactive, independent, and solution-oriented mindset.
