Executive Secretary to General Manager

• Manages the General Manager’s diary to co-ordinate meetings/appointments, and to ensure smooth running of such meetings
• Maintains executive’s agenda and assist in planning appointments, meetings, events etc.
• Coordinates and communicates with various departments and all levels of staff on matters directed by the General Manager
• Handles and prioritizes all outgoing or incoming correspondence (e-mail, letters, packages etc.)
• Co-ordinates travel arrangements in a highly efficient manner and prepares detailed travel file accordingly
• Maintains systematic up-to-date filing and tracing systems
• Maintains and updates Executive Committee and Department Heads’ leave record
• Maintains confidentiality of sensitive matters/issues

• Minimum of 2 years experience in a similar position in an international brand. Remote area work experience is preferred.
• Professional, composed and resilient; with excellent communication, organization and administration skills.
• Proficient in Bahasa Indonesia and English as well as computer programs.
• Well-organized, discreet, trustworthy and is able to handle business information with complete confidentiality.
• Ability to handle all secretarial duties at the Executive Office and multitask as assigned by the Management.
• Work experience with hotel software (Opera Cloud, SunFish, MICROS, etc) will be preferred.
• Physical ability to stand and walk for long periods of time.
