Role Overview
We’re looking for a full-time Executive Recruiting Coordinator to join our Talent team at Harvey AI and play a critical role in delivering a best-in-class hiring experience, particularly for senior and executive-level candidates.
In this role, you’ll operate as a strategic partner to Executive recruiters, Executive Assistants (EAs), and leadership — ensuring that every interaction reflects Harvey’s high standards and attention to detail. You’ll own complex scheduling across senior stakeholders, manage high-touch candidate logistics, and lead onsite execution with a “white glove” approach.
Harvey is growing rapidly, with a significant focus on building out our leadership team. This means navigating intricate calendars, coordinating across multiple time zones, and supporting broader coordination efforts alongside EAs and business partners. You’ll be at the center of this process — bringing polish, discretion, and operational excellence to every step.
This is a hybrid role based in our San Francisco office. You’ll be expected to be onsite for in-person interviews and executive visits, ensuring a thoughtful, elevated experience for both candidates and interviewers.

What You’ll Do
• Partner closely with recruiters, hiring managers, senior leadership, and Executive Assistants to deliver a seamless, high-touch candidate experience — with a focus on executive hiring
• Own end-to-end scheduling for executive and senior candidates, managing complex calendars across multiple stakeholders and time zones
• Act as a primary point of contact for candidates, providing proactive communication, white glove support, and a highly personalized experience throughout the process
• Contribute to broader business coordination efforts as a member of the coordination team
• Anticipate scheduling conflicts and proactively resolve issues, balancing competing priorities with speed and discretion
• Ensure in-person interview days and executive visits are flawlessly executed, handling logistics end-to-end and troubleshooting in real time
• Maintain and optimize scheduling workflows and systems (Ashby), ensuring data accuracy and operational excellence
• Partner with the Recruiting Operations teams on initiatives to improve processes, scale recruiting coordination, and elevate the candidate experience
What You Have
• 5+ years of experience in recruiting coordination, executive scheduling, EA support, or operations in a fast-paced environment
• Experience supporting senior stakeholders or executives, with an understanding of discretion and stakeholder management
• Proven ability to manage complex scheduling and onsite coordination across multiple stakeholders and time zones
• Strong experience in candidate-facing work, with a focus on delivering high-touch, concierge-level experiences
• Experience partnering with Executive Assistants or supporting cross-functional coordination efforts
• Experience with Ashby or a similar applicant tracking system
• Exceptional organizational skills and attention to detail, with the ability to anticipate needs and stay ahead of shifting priorities
• Strong communication skills — polished, clear, and professional across all channels
• A calm, solutions-oriented mindset with the ability to adapt quickly and operate under pressure
• A service-oriented approach and a genuine passion for delivering a best-in-class candidate experience
• Proficiency in Google Workspace (Docs, Sheets, Calendar, etc.)
Compensation
$96,000-144,000 USD
