to manage essential financial, administrative, and compliance activities across several business entities.

Position Summary
The Executive Operations Coordinator
plays a key role in supporting the financial, administrative, and compliance functions of three LLCs. This person will oversee accounts payable, reconciliations, compliance audits, vendor management, contract administration, tax‑related documentation, and franchise‑support activities. They will also provide direct support to ownership (Lynn and Richard) with travel coordination, reporting, and organizational tasks.
This is a high‑trust position requiring accuracy, follow‑through, confidentiality, and strong technology skills.
Key Responsibilities
Financial Operations
Manage and process accounts payable across three LLCs
Perform monthly bank and account reconciliations
Maintain organized financial records and entity‑specific documentation
Track partner buy‑in loans for Yoerk LLC, including balances, payments, and amortization schedules
Assist with balance sheet preparation and monthly/quarterly financial reporting packages
Vendor Management & Tax Compliance
Oversee 1099 vendor onboarding, verification, and maintenance
Prepare and complete annual 1099 filings
Assist with annual tax documentation gathering for CPAs and external accounting partners
Maintain up‑to‑date W‑9 files and ensure compliance with reporting requirements
Insurance & Regulatory Compliance
Complete recurring workers’ compensation audits
Manage renewals and documentation for general liability, workers’ comp, and other required insurance policies
Maintain compliance records for all LLCs and franchise operations
Ensure proper filing and retention of regulatory and franchise materials
Contract & Document Administration
Prepare, review, and organize purchase agreements, vendor contracts, and renewals
Support contract negotiations by comparing pricing, terms, and vendor options
Maintain a digital, organized, secure repository of contracts and legal documents
Executive & Operational Support
Coordinate travel arrangements and logistics for owners
Assist with calendar management, meeting preparation, and follow‑up tasks
Support Lynn and Richard with operational organization and special projects
Assist with franchise‑specific administrative or compliance tasks as needed
Process & Technology Management
Maintain and improve digital filing systems and internal workflows
Leverage technology tools to streamline operations and documentation
Provide basic troubleshooting and system organization support
Qualifications
Required
3+ years experience in operations, finance, administrative support, or compliance roles
Strong understanding of bookkeeping fundamentals (AP, reconciliation, vendor setup)
Experience with multi‑entity or multi‑LLC operations preferred
Exceptional attention to detail and accuracy
High level of integrity and ability to handle confidential information
Strong proficiency with Excel and cloud‑based technologies
Excellent organizational and follow‑through skills
Ability to work independently and prioritize effectively
Preferred
Experience supporting executives or senior leadership
Prior work in compliance, accounting support, or franchise operations
Experience interacting with CPAs, insurance carriers, and financial institutions
Comfort with contract review and administrative legal processes
