Summary
We are looking for an Executive Coordination Lead to work closely in an executive and operational support, and strategic advisory capacity, as required. You will perform a wide variety of tasks as assigned by the executives and senior leadership of the business, namely, the directors and the operations manager. You will be working in person out of the Vancouver office, with daily check-ins with your supervisors.
The Position will be a dynamic and rewarding opportunity for an intrinsically motivated individual seeking to satisfy senior executive and other business objectives while striving to create value whenever possible.
Your role will include:
Administrative and day-to-day support to the principal and the portfolio companies.
Manage the principal’s calendar and schedule.
Coordinate with external and internal contacts to schedule meetings and conference calls.
Prepare documents for the principal especially prior to upcoming meetings with new clients.
Manage travel arrangements for the principal.
Regular reporting and updates with the principal and leadership.
Performing duties across the organization as required to meet the overall business objectives
Taking on projects from the Operations Manager for the business overall
Participating in client meetings
Completing high priority client tasks
Completing ad-hoc executive tasks
Managing executive schedules and conflicts
Drafting emails on behalf of executives
Required Skills or Experience
Candidates seeking to apply for the Operations Coordinator position must satisfy the following requirements:
Successfully complete online testing for the position
Valid driver license – Class 5 or equivalent
Strong organizational skills and ability to prioritize tasks
Strong foundation in business and operations
Exceptional time management skills
Superior verbal and written communication skills
Excellent attention to detail
Strong problem-solving ability
High adaptability to a high-stress, high work volume environment
Natural curiosity and willingness to learn
Commitment to excellence in work products produced
Extensive experience with the Microsoft Office and Google suite
Past experience as an assistant to a Sr Executive
Salary and Benefits
100,000 - $115,000 base salary, with potential bonus and profit-sharing available based on individual performance
