Job Description
We are looking for a dynamic and service-oriented Executive Concierge to join our Guest Services team in Panama.
This is a fully on-site role based at PH Arcadia. The Executive Concierge will assist guests throughout their entire reservation and stay experience by responding to inquiries via email, phone, and internal platforms, while also welcoming guests in person at the property and ensuring their stay is seamless and enjoyable.
The ideal candidate is passionate about hospitality, enjoys working with people, and is proactive in anticipating guest needs.
Responsibilities
Guest Communication & Support
Respond promptly and professionally to guest inquiries via phone, email, chat, and ticket systems using tools such as Aircall, Guesty, and HubSpot.
Provide clear information about reservations, services, and property details.
Address guest questions, concerns, or requests in a timely and effective manner.
On-Site Guest Experience
Welcome guests in person at the property and assist with check-ins and orientations.
Provide support throughout the guest’s stay, ensuring they feel comfortable and well assisted.
Help coordinate guest requests and communicate with the appropriate teams when needed.
Booking Cycle Support
Guide guests through the full reservation process and assist them with booking inquiries.
Understand guest needs and recommend the most suitable accommodation options.
Concierge & Guest Experience
Share local recommendations and useful information to enhance the guest’s stay.
Assist guests with additional services or special requests when possible.
Anticipate guest needs and proactively offer solutions to improve their experience.
Performance & Collaboration
Work closely with internal teams to ensure smooth operations and excellent service.
Maintain accurate records and communication through company tools such as CRM, HubSpot, and Basecamp.
Contribute to achieving KPIs related to guest satisfaction and service quality.
Requirements
Experience in hospitality, customer service, corporate housing, or concierge roles.
Must be available to work on-site at PH Arcadia in Panama City.
Strong communication skills and a guest-focused mindset.
Proficiency in Google Workspace, HubSpot, CRM systems, and online communication tools.
Excellent organizational and problem-solving abilities.
Ability to work rotating schedules, including weekends.
Advanced English is a strong asset.
