Belmont Lavan Ltd is seeking a Works Council Coordinator for a part-time position on a 24-month contract. In this role, you will be responsible for coordinating activities and communications related to the Works Council, facilitating effective cooperation between employees, management, and the council members.
Key Responsibilities
• Coordinate and support Works Council meetings and activities.
• Act as a liaison between the Works Council members and company management.
• Ensure accurate documentation and distribution of meeting minutes and related materials.
• Support compliance with legal and regulatory requirements concerning employee representation.
• Facilitate communication and collaboration between various stakeholders.
• Manage scheduling and logistics for council activities.
• Assist in conflict resolution and promote a positive working environment.
Requirements:
• Plan and coordinate Works Council (WC) meetings, including additional council-related sessions.
• Prepare, draft, and distribute meeting agendas along with supporting documentation.
• Attend meetings to take accurate minutes and ensure their timely finalisation and distribution.
• Manage the Works Council mailbox by reviewing incoming correspondence, forwarding queries to relevant committees, and ensuring timely follow-ups.
• Maintain a structured overview of incoming documents and track associated deadlines for formal responses.
• Organise, manage, and archive Works Council documentation and correspondence in an efficient manner.
• Monitor action points, deadlines, and ensure appropriate follow-through on assigned tasks.
• Provide comprehensive administrative and organisational support to the Works Council.
• Coordinate and schedule training sessions, events, and other ad hoc activities beyond regular meetings.
• Support the preparation and coordination of the annual Works Council Report.
• Ensure timely receipt and distribution of HR and Finance reports.
• Maintain and update process documentation to ensure accuracy and consistency.
Requirements
• Availability of approximately 8 hours per week, with mandatory on-site presence on Mondays (typically the 2nd and 4th Monday of each month).
• Excellent written and spoken communication skills in both Dutch and English.
• Note: English is the primary working language within the Works Council.
• Strong attention to detail, with a structured and methodical approach to work.
• Ability to manage multiple tasks and maintain oversight in a dynamic environment.
• Proactive mindset with strong organisational and coordination skills.
• Commitment to the role for a longer-term engagement.
