Job Description
Your Opportunity
Ready for your next big ride? At woom, we are looking for a Strategic Enabler & Operational Partner to join the CEO Office. This is a high-impact, hybrid role designed for a professional who masters the art of executive administration while bringing the intellectual curiosity to engage with the substance of our business.
You are more than the backbone of the CEO Office, you are the catalyst that ensures our strategic vision stays on track. You act as a high-level co-pilot, blending extreme precision with an unflappable, positive attitude. Whether you are orchestrating complex board cycles, designing visual narratives for investor decks, or managing a rapidly shifting personal calendar, you thrive in an environment where your support directly enables our leadership to focus on woom's global growth.
Your Mission
Strategic Support & Content Collaboration
Content Partner: You prepare comprehensive briefings, decision memos, and dossiers. You don’t just organize meetings; you understand their context and ensure the CEO is fully prepared for every interaction.
High-End Presentation Design: You take ownership of creating sophisticated presentations (google slides), translating complex ideas into compelling visual narratives.
Action Tracking: You follow up on strategic initiatives and ensure that "to-dos" from leadership meetings are executed across the organization.
Executive Operations & Precision Gatekeeping
Masterful Calendar Management: You treat the CEO’s time as a highly valuable resource, scheduling and prioritizing appointments, meetings, and personal commitments to ensure a balanced and efficient day.
The Ultimate Gatekeeper: As the primary point of contact, you act as a "firm but friendly" filter for heavy email traffic, ensuring urgent matters are escalated promptly.
Correspondence & Communication: You draft and manage high-level communications in flawless German and English.
Seamless Logistics & Administrative Excellence
Complex Travel Orchestration: You own end-to-end travel management (flights, visas, transfers), ensuring even demanding international itineraries are stress-free.
Meeting & Event Coordination: You organize internal/external meetings and leadership events (offsites), ensuring technology and agendas are perfectly prepared.
Administrative Ownership: You handle expense reports, invoice processing, and ad-hoc personal errands to ensure the CEO’s focus remains 100% on the business.
Investor & Board Relations
Lead Orchestrator: You manage the communication cycle for the Advisory Board, ensuring all reporting and materials are delivered with the highest quality and on strict deadlines.
Stakeholder Hospitality: You represent the CEO Office towards investors and shareholders, ensuring a professional and seamless experience at every touchpoint.
Your Profile
4+ years in a dedicated Executive Assistant or Personal Assistant role within a fast-paced, international environment.
You have a "graphic eye" for aesthetic presentations and the ability to synthesize complex information into clear structures.
You are always two steps ahead, anticipating needs before they arise and juggling multiple moving parts with ease.
Flawless German and English are a must. You can draft complex documents and edit high-level correspondence in both languages.
You handle sensitive information with absolute confidentiality and maintain a calm, resilient demeanor, even when plans change last minute.
