Job Description
About the Role
We're looking for an exceptional Executive Assistant to serve as the right hand to our executive leadership team (ELT). This isn't a traditional admin role — it's a high-trust, high-impact position at the center of a fast-moving organization operating across government, defense, and enterprise technology sectors.
The person who thrives here is someone who has followed a senior leader through multiple jobs, knows how to manage complexity and confidentiality with ease, and takes genuine pride in making a high-performance executive more effective. You'll own ELT calendars, coordinate domestic and international travel, and serve as the operational backbone that keeps everything running — even when (especially when) everything is moving at once.
Core Responsibilities:
Calendar & Schedule Ownership
•
Serve as the sole owner of ELT calendars — nothing gets on it without going through you
•
Proactively manage scheduling conflicts, protect deep-work time, and ensure every meeting has a clear purpose
•
Coordinate across internal leaders and external stakeholders to make scheduling a seamless, positive experience for all parties
Travel Coordination
•
Plan and manage complex, multi-stop domestic and international travel itineraries
•
Anticipate trip objectives and proactively fill travel windows with productive meetings, site visits, or engagements — getting maximum value from every trip
•
Monitor and adapt logistics in real time when plans change (and they will)
Communications & Correspondence
•
Maintain broad visibility into ELT email and communications to ensure nothing critical falls through the cracks
•
Draft and manage correspondence on behalf of the ELT with appropriate discretion and voice
•
Act as a warm, professional point of contact for government officials, partners, board members, and external stakeholders
Operational Support
•
Coordinate meetings across the leadership team by managing calendars as a soft-power resource — a key tool for organizational prioritization
•
Support planning for company-wide and off-site events
•
Maintain awareness of ongoing projects, NDAs, and sensitive initiatives
•
Occasionally assist with personal scheduling needs, including family travel coordination
Who You Are:
•
Experienced: You've supported a senior executive — ideally a C-level leader — for an extended period, following them through high-pressure environments and multiple roles or organizations
•
Discreet: You understand that the work you do is sometimes inherently confidential and you treat it that way, always
•
Proactive: You anticipate needs before they're expressed. You're two steps ahead.
•
Adaptable: You thrive in ambiguity and flux. No two weeks look the same, and that energizes rather than frustrates you
•
Relationship-forward: Stakeholders - both internal and external - enjoy working with you. You understand that being liked and trusted is how you get things done
•
Composed during travel: When the C-suite executives are on the road, you're in operational mode — monitoring, adjusting, and problem-solving in real time
Qualifications:
•
7+ years of experience supporting a C-level or senior executive, with demonstrated longevity in those roles
•
Background in a high-tempo environment: defense, government, consulting, financial services, or enterprise technology preferred
•
Exceptional written and verbal communication skills
•
Strong command of productivity and calendar tools (Google Workspace, or equivalent)
•
Proven ability to handle sensitive information with complete discretion
•
Comfortable operating remotely and independently without close supervision
•
East Coast or Central U.S. time zone required
Highly Preferred
•
A “tech forward” approach to operating. Understanding and leveraging AI tools to automate tasks and build efficiencies in your role.
Why This Role:
This is a rare opportunity to work closely with a nationally recognized leader at the intersection of technology, defense, and public-sector innovation. You'll have a front-row seat to high-stakes decisions, international engagements, and a mission-driven organization that is genuinely doing important work.
The right person in this role will find it deeply rewarding — and will be valued accordingly.
