As we are growing fast, we are looking for a Executive Assistant to our Founders at Flexa, to enable our executives to operate at peak performance. You'll be the master coordinator, strategic problem-solver, and trusted confidant who thrives in a fast-paced, dynamic environment. This isn't your typical EA role—you'll have the opportunity to shape processes, drive efficiency, and contribute to Flexa's culture of innovation.
Your Responsibilities:
• Be the Time Guru: Own scheduling, calendar management, meeting coordination, and agenda prep for executives to ensure they’re always a step ahead. Help executives prioritize appointments
• Drive communications: Draft and edit communications, reports, and presentations on behalf of executives and Flexa.
• Be the Operational Champion: Handle travel arrangements, expense reports, and logistical planning with precision and efficiency. Use AI with creativity.
• Advocate Flexa's Culture: Plan team events, celebrations, and moments that bring the Flexa spirit to life.
• Problem Solver Extraordinaire: Tackle ad hoc challenges and bring creative solutions to the table.
Your Profile:
• Minimum of 2 years of experience in a similar role
• Strong organizational and time management skills with the ability to multitask and prioritize effectively - thus supporting founders.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling tools.
• Excellent verbal and written communication skills in both English and German.
• High level of attention to detail, professionalism, confidentiality, and discretion.
• Ability to work independently and collaboratively in a fast-paced environment, with proactive attitude

I'm Fabian, Co-CEO at Flexa. My passion for the energy transition began early, during my first internship at a wind farm contractor when I was just 16. Watching those massive turbines rise from the ground was a moment of awe that still resonates with me. After starting a few of my own ventures and completing my studies in Finance, I transitioned into the consulting industry, where I eagerly immersed myself in energy projects. From that point on, I was hooked.
