Our client is a fast-growing US-based digital marketing agency specialising in SEO
strategy for US clients. We’re young, scaling quickly, and building systems as we grow.
Right now, our leadership team is juggling both strategy and day-to-day execution — and we’re ready to change that.
We’re hiring an Executive Assistant who wants more than a traditional EA role. Yes, you’ll
own inbox, calendar, CRM, and documentation. But you’ll also grow into operational support and strategic execution.
If you’ve started your career as an EA and felt yourself naturally stepping into more operational responsibility… this role was built for you.
What You’ll Do
Core Executive Support
● Manage inbox and calendar with strong prioritisation
● Draft clear, professional responses independently
● Track follow-ups so nothing slips through the cracks
● Maintain fast response times to leadership messages
CRM & Sales Coordination
● Maintain HubSpot (pipeline updates and data hygiene)
● Track sales stages accurately
● Coordinate meetings with prospects during the sales cycle
● Support onboarding documentation and internal coordination
Contracts & Documentation
● Draft MSAs, NDAs, and basic agreements from templates
● Coordinate signatures and organise contract records
● Keep documentation systems clean and structured
How This Role Grows
This is not a “task-only” position.
As you settle in, you’ll:
● Take operational initiatives from concept to completion
● Research tools, vendors, and process improvements
● Support light project coordination across sales, marketing, and ops
● Improve workflows using AI and automation
● Help build systems in areas where none currently exist
You’ll be trusted to think, not just execute.
Who We’re Looking For:
• You likely:
• Have at least 1 year of consistent EA experience
• Have worked in a startup, tech, or fast-paced agency environment
• Naturally take ownership of tasks without being chased
• Can start and finish projects independently
• Are comfortable working without rigid systems in place
• Can push back constructively when you see a better way
• Are highly organised and detail-oriented
• Have excellent written English
• A proactive mindset and the confidence to speak up when you see a better way
• The ability to work independently without needing constant direction
• Comfort operating in ambiguity and building structure where none exists
• Strong composure in fast-moving environments
• A natural sense of urgency and momentum
• The ability to prioritise effectively when multiple things are happening at once
Nice to Haves:
• HubSpot experience
• Familiarity with tools like Zapier, Notion, Lindy, etc.
• Curiosity about AI tools beyond just basic ChatGPT use
• Experience transitioning from EA into operations-focused work
