Join our global team as an Executive Assistant & Office administrator in Kaunas.
The Executive Assistant & Office Administrator primarily supports the CEO while organizing and coordinating office administration, procedures, and front-office management to ensure efficient operations, effective communication, and a safe workplace.
Responsibilities:
• Assist the CEO daily with meeting coordination, calendar management, travel bookings, expense reporting, and internal and external liaison.
• Ensure an effective document management system (registration, distribution, archiving), including administration of the e-signature system (eSygnature).
• Handle all incoming and outgoing correspondence (mail, packages, couriers).
• Greet visitors and manage the company’s general email inbox and phone line.
• Assist management with internal communication and coordination activities.
• Provide administrative support to colleagues and executives as needed.
• Maintain department documents and ensure timely transfer to the archive.
• Manage office supplies and facility-related orders, and coordinate their distribution to departments.
• Maintain the front desk, meeting rooms, conference areas, and other shared office spaces.
• Arrange business travel, including bookings for transportation, accommodation, and related logistics.
• Support the organization of internal office events and team gatherings.
• Act as a liaison with external service providers (e.g., cleaning, maintenance, courier services).
Requirements:
• University degree – considered an advantage
• At least 2 years of relevant work experience as an Office Administrator
• Experience as an Executive Assistant is an advantage
• Fluent Business English and Lithuanian (written and spoken)
• Strong document preparation and management skills
• Knowledge of document preparation and archiving regulations/legislation
• Excellent knowledge of MS Office applications
• Proactivity, sense of ownership, and strong organizational skills
• Salary ranges 1800-2000 eur/gross/month.
