Douglass Hanly Moir Pathology is an established and well-respected pathology practice, offering comprehensive, high-quality pathology across NSW and north-west Victoria. We are looking for a full-time Executive Assistant. You will be an essential team member, who is organised, proactive, and enjoys working in a fast-paced corporate environment.
In this role, you will help Managers and other EA’s with their phones, meetings, and calendar management. You will also prepare and format documents and presentations, keep spreadsheets and databases up to date, and arrange and set up meetings with audio-visual equipment.
As an Executive Assistant, you will work closely with the senior leadership team, helping to manage priorities, communications and workflow across the business. You will provide administrative and operational support to keep the executive office and the wider practice running smoothly.
What we’re looking for
Prior experience as an EA or administrator in a corporate or healthcare setting
Able to work full-time hours rostered Monday to Friday, between 8:00 am to 5pm.
Strong communication skills and excellent attention to detail
High level of discretion, professionalism and judgement
The ability to manage competing tasks and deadlines
Proficient in Microsoft Office and become familiar with in-house software
The ability to build relationships across all levels of the organisation
A willingness to support other executive team members
About you
You are organised, professional and focused on building strong relationships. You can anticipate needs, plan ahead and help executives perform at their best.
The right candidate will have strong communication and computer skills in Outlook, Word (including mail merge), Excel, and PowerPoint. You should have excellent typing skills, good communication, a professional phone manner, strong organisational skills, the ability to multitask, experience working in a team and a solid understanding of office procedures and administration.
You will also be willing to assist with other general management tasks, such as answering and directing calls from laboratory and pathologists, handling complex bookings, and performing other administrative duties.
