The Brandenburg Medical School Theodor Fontane (MHB) is seeking a committed and reliable Executive Assistant (m/f/d) to the Director of the Institute for Translational Immunology. In this responsible position, you will provide essential support to the Director and contribute significantly to the structural, organizational, and scientific development of the institute.
Your Responsibilities:
Support to the Director:
Comprehensive assistance to the Director at the Brandenburg an der Havel site
Professional coordination and management of a demanding schedule
Preparation, organization, and follow-up of meetings, appointments, and events
Acting as the first point of contact for internal and external inquiries
Institute Organization and Development:
Independent structuring and optimization of internal processes
Establishing and maintaining digital filing systems, shared drives, and documentation structures
Coordination of administrative workflows and support for institute management
Active contribution to the ongoing development of the institute, including room for your own ideas and initiatives
Support for Research and Project Activities:
Assistance with national and international research and collaborative projects
Organization and preparation of international meetings, workshops, and conferences
Independent correspondence in German and English with a wide range of national and international cooperation partners
Support with publications, reviews, and various research-related tasks
Communication and Collaboration:
Facilitating effective collaboration between multinational internal and external working groups
Coordinating and aligning the interests of various cooperation partners
Transparent and communicative interaction with institute colleagues and associated research groups
Your Profile:
Completed commercial/administrative training, university degree, or an equivalent qualification; experience in an academic or research-related environment is an advantage
Strong organizational and coordination skills as well as a structured, independent working style
Language proficiency:
German at GER level C1 (very good written and spoken skills)
English at GER level B2–C1 (good to very good written and spoken skills)
Excellent communication skills and a confident, friendly manner
Professional experience in administrative processes (documentation, file management, invoice review, cost center checks)
Flexibility, resilience, and the ability to remain calm and focused even during busy periods
A reliable, responsible, hands-on personality (“doer mentality”)
Enjoyment of working in a young, multinational team
Interest in a long-term, meaningful position within a dynamic academic environment
