Mission Brief

As Executive Assistant, your mission is to maximize the effectiveness of one member of the Executive Management team by ensuring flawless organization of calendar, meetings, and travel. You act as a trusted partner in the background - anticipating needs, protecting time for highest‑impact priorities, and enabling smooth interactions with internal and external stakeholders through discretion, precision, and professionalism.

Your Role in Our Space Mission

• Maintain and manage the complex calendar of the Executive Management (one individual, C-level)

• Schedule and coordinate meetings with internal stakeholders and external partners, including high-ranking politicians, investors, and business leaders

• Ensure efficient time planning and prioritization

• Manage the Executive’s email inbox, including filtering, prioritizing, and drafting responses

• Guarantee professional and timely communication

• Plan and book national and international business trips

• Optimize travel times and routes to ensure maximum efficiency between appointments

• Flexibly react to spontaneous changes

• Liaise with external service providers and internal contacts

• Build and maintain a professional network, especially with executive assistants and offices of key decision-makers

• Ensure smooth coordination and access to relevant stakeholders

Qualification Checklist

• Several years of experience as an Executive Assistant or Personal Assistant or in a similar role

• Exceptional organizational skills and a strong attention to detail

• Excellent communication skills and ability to interact confidently at all levels

• Absolute discretion, loyalty, and professional demeanor

• Proficient in MS Office and modern communication tools

• Fluent and error-free in both German and English (spoken and written)
