Team Overview
The Executive Assistant plays a vital role in supporting the day-to-day operations and long-term success of the ministry. Reporting to the Executive Vice President, this role provides essential administrative support by anticipating needs and managing priorities, including calendar coordination, travel and external engagements, preparation of presentation materials and written reports, and other administrative support as directed. The position requires a commitment to excellence, continuous improvement, and focused support of Executive Vice President activities, with an average in-office presence of four days per week.
Key Responsibilities
• Manage the Executive Vice President’s calendar, schedule, email coordination, meetings, conference room logistics, travel, and catering.
• Manage correspondence and serve as a primary point of contact for internal and external communications, including senior leaders, Ministry partners, and ADF Board members.
• Provide comprehensive administrative support, including signature and approval workflows for corporate filings, contracts, renewals, bar and CLE compliance, and records management.
• Book and manage domestic and international travel and prepare and submit the Executive Vice President’s expense reports.
• Coordinate with internal departments to support priorities and requests for the Executive Vice President.
• Review and approve expense reports and PTO requests for the Executive Vice President’s direct reports.
• Manage seasonal, personnel, board, and event-related projects and deliverables, coordinating across teams to ensure timely completion.
• Partner with Finance, HR, and the Celebrations Committee to process employee recognition awards and life-event acknowledgments.
• Collaborate with the Chief of Staff on executive-level and organization-wide initiatives, including leadership off-sites and all-hands meetings.
• Maintain monthly chapel metrics and reporting databases and provide after-hours availability as needed, particularly during Executive Vice President travel.
Minimum Qualifications
• Bachelor’s degree in a related field, such as English, Communications, or Business Administration.
• Minimum of five years progressively responsible administrative experience and executive support.
• Ability to travel as needed.
